Main Function:
The Office Administrator is an individual who has a deep understanding of client centered care and prioritizes the clients’ needs. They provide administrative non-clinical support to our clients and families, build trust and rapport with clients, families, and the team members to create a welcoming, supportive and safe space.
Roles and Responsibilities:
Working under the guidance and direction of the President and Clinical Supervisor the Office Administrator will be responsible for activities involved in the following:
· Manage all incoming phone calls/emails, respond to homecare related inquiries and redirect calls/emails as appropriate
· Support administrative duties such as scheduling, emailing, office inventory/supplies, and participate in on-call rotation
· Always maintain client confidentiality and privacy as per VitaHeal HomeCare’s protocols and PHIPA Standards
· Collaborate as part of the interprofessional team for the best interest of the clients and their families
· Coordinate with the Clinical Supervisor to ensure smooth flow of client care and office operations
· Perform other related duties as defined by the President and Clinical Supervisor
Required Knowledge, Skills, Qualifications:
· Graduate of an Office Administrative program or acceptable equivalent combination of education and/or 2+ years experience
· Advanced Microsoft Office skills
· Demonstrated ability to work in a team environment
· Ability to be resourceful and proactive in dealing with issues that may arise
· Strong ability to work independently by taking initiative in collaboration with other members of a busy care-centered team
· Strong organizational skills, ability to manage multiple tasks in a timely manner, and flexibility to adapt to changing workload
· Strong communication (verbal/written) and interpersonal skills
