Scope of Services
Patient Experience Support
The Front Desk Administrative Professional will:
- Provide professional and welcoming communication with patients.
- Assist with patient inquiries and general administrative requests.
- Support a positive patient experience throughout the patient journey.
- Maintain a professional and hospitality-focused approach in all interactions.
- Help create an organized, welcoming, and efficient reception environment.
Scheduling & Administrative Coordination
- Coordinate appointments using Dentrix practice management software.
- Manage appointment confirmations and administrative follow-ups.
- Support recall communication and patient reactivation initiatives.
- Assist with schedule optimization and administrative workflow improvements.
- Coordinate communication between patients and the clinical team.
Dental Software Administration
- Utilize Dentrix dental practice management software.
- Maintain accurate patient administrative records.
- Support documentation organization and digital record management.
- Assist with administrative reporting requirements.
Insurance & Billing Administration Support
- Assist with insurance-related administrative processes.
- Support claim submissions and required documentation.
- Respond to patient billing inquiries.
- Assist with payment administration processes.
- Maintain accuracy, confidentiality, and professionalism when handling financial information.
Compliance & Confidentiality
The successful candidate must:
- Maintain strict patient confidentiality.
- Comply with PHIPA requirements relating to personal health information.
- Handle patient information with professionalism and discretion.
- Maintain accurate administrative documentation.
- Follow all applicable dental office privacy and administrative protocols.
Required Experience
The ideal candidate will have:
- Previous experience in dental administration, healthcare administration, or premium customer service.
- Knowledge of dental terminology and dental office workflows.
- Experience using Dentrix or comparable dental practice management software.
- Understanding of dental insurance processes.
- Strong communication and interpersonal skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage confidential information professionally.
Preferred Experience
- Internationally trained Dentist waiting on licensing (background knowledge on dentistry).
- Experience supporting multiple providers.
- Familiarity with Insurance administration.
- Experience working within a digitally advanced dental practice.

Engagement Details
Location: Oakville, Ontario
Work Arrangement: On-site
Clinic Hours:
- Monday to Friday: 10:00 AM – 6:00 PM
- Saturday: 9:00 AM – 5:00 PM
- Sunday: Closed
Compensation: $23.00–$30.00 per hour, based on experience and qualifications.
Pay: $23.00-$30.00 per hour
