We’re looking for a dedicated Office Admin & Care Coordinator to support our caregivers, clients, and leadership team through thoughtful scheduling and reliable administrative support.
About the Role
This position plays a key role in keeping our operations running smoothly. You’ll be responsible for coordinating care managing client documentation, and ensuring clear communication across the board. If you enjoy solving logistical puzzles, staying organized, and helping others, this role is for you.
Key Responsibilities
- Manage weekly allocated hours across multiple clients and locations.
- Match caregiver availability and skills with client care plans and preferences.
- Handle last-minute changes, call-outs, and scheduling conflicts with professionalism.
- Communicate updates clearly to caregivers, clients, and families.
- Monitor satisfaction and report concerns to the management team.
- Organize and maintain client files, especially those related to Motor Vehicle Accident (MVA) claims.
- Prepare and format documents including reports, letters, and forms using Microsoft Word and Excel.
- Manage email communications and ensure timely responses.
- Use Adobe Acrobat for PDF editing, e-signatures, and document handling.
- Coordinate with legal offices, insurance providers, and internal staff.
- Answer phones and perform general office duties with a friendly and professional demeanor.
Required Qualifications:
- High school diploma or equivalent.
- 2+ years of experience in scheduling, administrative support, or office coordination.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
- Strong communication skills—both written and verbal.
- Ability to multitask, stay organized, and remain calm under pressure.
Preferred Assets:
- Experience in healthcare, home care, or MVA-related industries.
- Familiarity with medical/legal terminology and insurance claims processes.
- Knowledge of scheduling or case management software.
