Shelter Movers is a national, volunteer-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence. Every year, in collaboration with community partners, our volunteer teams contribute tens of thousands of hours across Canada to support people transitioning to lives free of violence and abuse.

PURPOSE OF YOUR ROLE
The Philanthropy & Events Coordinator plays a key role in supporting the coordination, execution, and effectiveness of Shelter Movers’ philanthropy program. Reporting to the Senior Director of Philanthropy, this role provides project coordination and operational support across fundraising initiatives, donor engagement, grants, stewardship and fundraising events.
Working closely with the Senior Director of Philanthropy, Senior Manager of Philanthropy, Director of Events & Community Engagement, and colleagues across Shelter Movers’ national chapters, the Coordinator ensures fundraising projects are well-organized, deliverables are tracked and completed, and systems support strong donor engagement and revenue generation.
This role is well suited to a highly organized, detail-oriented professional who thrives in a fast-paced, project-driven environment and enjoys coordinating multiple priorities that support fundraising success.
YOUR FOCUS
Donor Management and Data Reporting
- Conduct prospect research and support preliminary donor qualification across individual, corporate, foundation and community fundraising streams.

Prepare donor profiles, briefing notes, research summaries, presentations, and meeting materials for fundraising leadership.

Maintain accurate donor and prospect records in Raiser's Edge NXT, including updates to opportunities, actions, and contact reports.

Support donor meeting coordination and follow-up activities for senior fundraising staff.

Ensure data accuracy, consistency, and completeness across donor records.
Generate reports, queries, mailing lists, and fundraising data to support cultivation, stewardship, events, and campaigns.

Fundraising Event Coordination
Working under the direction of the Director of Events & Community Engagement, the Coordinator is responsible for producing and delivering assigned event-related outputs and materials, and supporting the execution of fundraising events through project-based work, including:

Developing and producing assigned event deliverables, including sponsorship materials, donor-facing presentations, event collateral and internal planning documents.

Producing event communications and supporting materials, including guest messaging, briefing documents, run-of-show components, and stewardship content.

Managing assigned components of event execution workplans, ensuring deliverables are completed on time and aligned with event strategy and requirements.

Supporting sponsorship and stakeholder deliverables, including fulfillment tracking, documentation, and post-event reporting inputs.

Preparing event reporting materials, including post-event summaries, metrics and evaluation inputs to support continuous improvement.
Grants and Stewardship

Coordinate grant calendars, deadlines, reporting requirements and stewardship commitments.

Support preparation of grant proposals and reports by gathering documentation, budgets, and supporting materials.

Coordinate donor stewardship activities, recognition commitments, and acknowledgement processes.

Maintain shared fundraising resources, including templates, impact content, financial reports, and organizational materials.

Draft and support the delivery of stewardship communications and donor updates.
SKILLS YOU WILL NEED

2 – 4 years of experience in fundraising, nonprofit administration, project coordination, event coordination, or a related field.

Experience using Raiser's Edge NXT or a comparable fundraising CRM.

Proficiency with Google Workspace and tools such as Canva and Mailchimp to support the creation of donor stewardship and event materials.

Experience supporting fundraising activities such as prospect research, stewardship, grant coordination, donor communications, and CRM management.

Demonstrated experience coordinating multi-stakeholder projects with competing timelines and deliverables.

Experience supporting fundraising events, sponsorship activities, or donor engagement initiatives.

Strong organizational and project management skills, with the ability to manage multiple priorities independently.

Excellent written and verbal communication skills.

High attention to detail and commitment to accuracy and follow-through.

Ability to work effectively in a remote, collaborative, and fast-paced environment.
EXTRA USEFUL SKILLS THAT YOU MAY HAVE!

Knowledge of the Gender Based Violence sector, specifically women’s shelters, is an asset.

A demonstrated commitment to Shelter Movers’ mission and to equity, anti-oppression, survivor-centred, and trauma-informed practice

Experience preparing donor briefings, grant materials, or stewardship reports

Experience in a growing or multi-stream fundraising environment

Familiarity with donor recognition tracking, moves management, and fundraising reporting
ROLE DETAILS

COMPENSATION: $ 60,000.00 - 66,250.00 Annually

LOCATION: Remote, anywhere in Canada

HOURS OF WORK: 35 hours per week (with some evening and weekend availability as needed)
