Overview
VFS Global, the world’s largest outsourcing and technology services specialist for governments and diplomatic missions worldwide, is currently hiring Deputy Manager / Senior Officer in our Visa Application Center in Toronto. The office will specialize in supporting the end to end operations of the Visa Application whilst ensuring quality and ensuring compliance to these specialized processes.
Written & verbal communication skills in Japanese is required. This position would require the candidate to travel.
Duties
Administrative and Operational Management
- Oversee all daily administrative and operational functions of the Visa Application Center (VAC), including document verification, cash handling, data recording, and passport delivery.
- Ensure compliance with Service Level Agreements (SLAs) and Standard Operating Procedures (SOPs), while adhering to VFS Global principles, policies, and procedures.
- Monitor and track internal errors to minimize penalties and implement corrective measures to ensure accuracy in visa applications.
Quality Assurance and Process Improvement
- Conduct regular audits and initiate process changes to enhance operational efficiency.
- Perform quality checks to identify and rectify incorrect or incomplete information, ensuring the integrity of all visa applications.
- Develop innovative strategies to boost productivity and cost-effectiveness, ultimately enhancing customer satisfaction.
Customer Support
- Effectively address applicant and customer escalations, providing support to staff and collaborating with support functions to resolve queries.
- Manage the delivery of Value-Added Services (VAS) and strive to meet VAS targets, while ensuring the VAC maintains high standards of productivity, security (both physical and data), and succession planning.
Sustainability:
- Promote judicious use of natural resources.
- Adhere to the organisation's environment, health, and safety policies, objectives, and guidelines.
Anti Bribery Management Systems (ABMS)
- Follow the ABMS roles and responsibilities details as prescribed on the ABMS manual.
- Understanding of ethical standards and the importance of integrity in business practices.
Experience / Qualification
- Bilingual and fluent in Japanese and English is a requirement for this position.
- Excellent written & verbal communication skills in both Japanese and English
- 2 – 5 years’ experience, preferably in Travel and Tourism or Service industry.
- Minimum education: Bachelor’s degree or global equivalent
- Good knowledge of Microsoft Office packages
- A good attention to detail and high level of accuracy under tight timelines
- A proactive ‘can-do’ attitude
- Flexible / ready and willing to work additional hours, if needed

Pay: $25.00-$30.00 per hour
