Position Summary:
The Intake & Program Support Worker supports the delivery of high-quality mentoring programs by coordinating and conducting intake interviews with youth and families and screening interviews with volunteers. As the primary intake contact for prospective youth, families, and volunteers, you will coordinate interviews, collect required documentation, maintain records, and support individuals through the intake and screening process. Through both virtual and in-person interactions, you will help create a welcoming, inclusive, and positive experience for those entering Big Sisters programs.
This role focuses primarily on intake, screening, documentation, and administrative support. While ongoing case management and match supervision are not core responsibilities, the successful candidate may provide additional program support as required to meet operational needs.
What you will be doing:
Intake & Screening
- Provide information regarding mentoring programs, services, expectations, and processes to prospective youth, families, and volunteers.
- Conduct intake and screening interviews with youth, parents/guardians, and volunteers in accordance with agency policies and National Standards.
- Facilitate virtual and in-person meetings, ensuring a positive and welcoming experience for all participants.
- Gather, review, and document information required to support intake and screening processes.
- Collect and track required forms, consent documents, references, and supporting materials.
- Maintain communication with clients and volunteers throughout the intake and screening process, responding to inquiries, and providing updates.
- Collaborate with program staff to support smooth transitions into the next stages of program involvement.
Documentation & Data Management
- Maintain accurate and confidential client and volunteer records.
- Complete intake documentation, interview summaries, and data entry in a timely manner.
- Utilize Microsoft Dynamics CRM and other databases to track participant progress and maintain records.
- Conduct file reviews to ensure documentation is complete and compliant with agency and National Standards.
- Support data quality initiatives, record management, and database maintenance.
- Assist with intake statistics, reports, and program metrics.
Program Support & Collaboration
- Coordinate intake and screening schedules with program staff.
- Provide administrative support related to client and volunteer intake and screening activities.
- Participate in team meetings, training opportunities, and organizational initiatives.
- Support agency events and community engagement activities as needed.
- Identify opportunities to improve client experiences, intake processes, and administrative efficiencies.
- Perform other duties as assigned.
What you bring:
Experience & Education
- Minimum two-year post-secondary diploma or degree in Social Services, Child and Youth Care, Psychology, Human Services, Education, Community Development, or related field.
- Minimum of two years of experience in client services, intake of coordination, volunteer engagement, social services, community programming, service delivery, or related field.
- Experience conducting interviews, assessments, intake processes, or similar client-facing activities.
- Experience working with children, youth, families, and volunteers is preferred.
- Experience with databases and client management systems; Microsoft Dynamics CRM experience is an asset.
- An equivalent combination of education, training, volunteer experience, and work experience may be considered.
Knowledge, Skills & Abilities
- Strong interpersonal and communication skills.
- Ability to engage effectively with individuals from diverse backgrounds and lived experiences.
- Excellent organizational, documentation, and administrative skills.
- Strong attention to detail and ability to maintain confidential information.
- Proficiency with Microsoft Office applications and database systems.

- Understanding trauma-informed, youth-centered, and inclusive practices is an asset.
Other Requirements
- Reliable access to a vehicle and ability to travel throughout the Lower Mainland as required.
- Successful completion of a Criminal Record Check, including Vulnerable Sector Screening (reimbursed by Big Sisters if required).
- Ability to work on a flexible schedule.

Schedule
This position requires flexibility and availability to support intake and screening scheduling between 9:00 a.m. and 8:00 p.m., Monday through Friday. Candidates must also be available to accommodate occasional evening and weekend intake and screening appointments as required.
- Full-Time: 35 hours per week (typically 7-hour shifts scheduled within operating hours)
- Part-Time: Approximately 20 hours per week (typically 4-hour shifts scheduled within operating hours)
Specific schedules will be determined based on program needs. Candidates must be available to work during the operating hours noted above, including occasional evenings and weekends.
This Position:
This is a 6-month contract that may be filled as either one full-time position (35 hours per week) or two part-time positions (20 hours per week each). The position is based in our Vancouver office on Joyce Street, directly across from the Joyce SkyTrain station. The role requires five working days per week, with a minimum of two days in-office. Some daytime travel, as well as occasional evening and weekend work, may be required. Flex or lieu time will be provided to accommodate additional hours worked.
