We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems, both electronic and paper-based
- Assist with bookkeeping and basic accounting tasks related to billing and invoicing
- Support customer service efforts by addressing inquiries and providing support via phone or email
- Schedule appointments and coordinate meetings for staff members
- Proofread documents for accuracy and clarity before distribution
- Support medical or dental office operations as needed, including patient record management and appointment scheduling
- Handle administrative tasks such as copying, scanning, and mailing documents
- Help and engage in our marketing and media team
Requirements
- Proven experience in an administrative or clerical role, preferably within a medical or dental office setting
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Ability to perform data entry accurately and efficiently
- Experience with front desk duties, multi-line phone systems, and customer support
- Knowledge of filing systems and document management best practices
- Strong typing skills along with proofreading abilities
- Excellent communication skills, including professional phone etiquette
- Prior experience in bookkeeping or medical/dental office operations is a plus
