COSCO SHIPPING Lines (Canada) Inc. is a leading global ocean carrier with a rich history in the Canadian market. The company is launching a brand-new operations centre, COSCO SHIPPING NAOC – North America Operation Center, in Toronto, and we are seeking organized Import Documentation Coordinators to streamline our ocean freight paperwork. In this role, you will serve as the critical link between customs brokers, steamship lines, and delivery teams to ensure timely container release and seamless port operations.
This is a full-time position based on 37.5 hours per week reporting to the Deputy General Manager of Import Documentation Department of NAOC.
Key Responsibilities
Responsible for supporting import documentation and cargo operations for U.S. and Canada shipments while ensuring compliance with CBP regulations, terminal requirements, company procedures, and customer service standards. Supports cargo visibility, operational coordination, documentation accuracy, financial reconciliation, exception management, and cross-functional operational activities across multiple regions and systems.
Customs & Regulatory Compliance
- Manage reporting and compliance protocols with U.S. CBP and Canadian authorities.
- Handle manifest/Baplie verification, manage U.S. CBP holds/exams, process penalty mitigations, and ensure accurate statutory reporting.
Terminal Operations & Cargo Velocity
- Coordinate import discharge, vessel schedules, port rotations, and cargo diversions.
- Monitor equipment velocity (e.g., IPI departures, reefers) and maintain data integrity across internal systems (e.g., IRIS) and terminal platforms.
Financial & Cost Reconciliation
- Oversee operational cost auditing, demurrage invoicing cycles, and terminal statement reconciliation.
- Process 3PI creations and ensure necessary payment clearances prior to cargo departure.
Customer Service & Stakeholder Coordination
- Serve as the primary liaison interfacing with terminals, authorities, and internal Customer Service.
- Resolve B/L amendments, routing discrepancies, and border rejections while maintaining cargo visibility via customer portals.
Support supply chain continuity
- The Import Documentation Coordinator may be expected to perform other related duties, assist with cross-functional tasks, and adapt to new systems or processes as directed by management.
Skills/Requirement
- Associate's degree
- 1-3 years of industry related experience
- Extensive knowledge of import operations, customs regulations, and terminal operations
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint)
- Strong organizational, analytical, communication, and customer service skills with the ability to manage multiple priorities in a fast-paced environment.
- Knowledge of terminal systems and operational reporting tools a plus.
