The Opportunity:
We're in search of an exceptional individual to assume the challenging role of Administrative Assistant, supporting a thriving practice in Kindersley, Saskatchewan. The ideal candidate should have 1-2 years of experience in an office setting.
Key Responsibilities:
- Utilize Microsoft Office Suite proficiently to draft, format, and edit documents and presentations.
- Assist with conveyancing administration, including preparing, organizing, and tracking real estate transaction documents and file materials.
- Support conveyancers and legal staff with opening, maintaining, and closing real estate files in accordance with firm procedures.
- Coordinate file-related information and follow-up items to help ensure real estate transactions progress accurately and on time.
- Conduct conflict of interest searches to ensure compliance.
- Open and close client files following firm procedures.
- Manage incoming and outgoing mail, ensuring timely distribution.
- Perform additional duties as required to support the legal team and office operations.
- Prepare, transcribe, and organize general correspondence and legal documents across various practice areas with accuracy and attention to detail.
- Manage and maintain legal and administrative files, ensuring proper indexing and tracking.
- Receive, sort, and prioritize files and maintain an up-to-date calendar to ensure timely responses and deadlines are met.
Qualifications:
- Professional demeanor including an ability to manage all incoming telephone inquiries, working well with colleagues, lawyers, external clients and outside providers
- Ability to quickly learn new concepts, terminology and procedures
- Exceptional organizational and time management
- Ability to communicate clearly both verbally and in writing; excellent skill in composition, grammar and spelling
- Meticulous attention to detail, accuracy and consistent quality of work
- Professional level Microsoft Word skills.
Compensation & Working Hours:
Compensation is competitive and commensurate with experience. Regular full-time position with working hours of 9:00 AM to 5:00 PM with an unpaid hour for lunch, subject to change from time to time. We provide a comprehensive benefits package which includes medical, dental, prescription drug, life insurance, critical illness, long term disability, vacation and sick time benefits.
