About the role
Brij Professional Corporation is a growing tax and advisory firm seeking its first and most critical hire. The Practice Manager builds and owns the operational infrastructure of the firm — from practice management systems and billing to our co-op program and contractor administration. This is a high-ownership, high-visibility role with a defined path to Managing Director.
What you'll own
- Karbon end-to-end: build all work templates, manage capacity, own internal tracking systems, and produce weekly status reports for the owner
- Ignition: proposal preparation, engagement letter tracking, invoice issuance, and AR follow-up
- Contractor payments: calculate remittances, prepare statements, and maintain the payment ledger
- Waterloo co-op relationship: post positions, onboard students, manage the term curriculum, and conduct assessments
- Compliance calendar: monitor contractor and staff designation renewals and insurance certificates
- Monthly financial summary for owner: billings, collected, WIP, AR aging, and contractor payments
- Hybrid office logistics: scheduling, equipment, and workspace for co-op students and contractors
- Other duties as assigned
What we're looking for
- 3–5 years in a tax, accounting, or professional services firm in an operations or senior admin role — non-negotiable
- Direct Karbon experience strongly preferred; a comparable practice management platform is acceptable
- Ignition or comparable proposal/billing platform experience preferred
- Comfort managing co-op students and junior staff — mentorship orientation is essential
- Strong Microsoft 365 proficiency and comfort with cloud-based environments
- No CPA required — operations expertise and professional services context matter most
