Position Summary
The Parts / Service Coordinator supports the daily operation of a busy internal fleet maintenance shop by coordinating heavy truck parts, inventory, work orders, purchase orders, vendor communication, and service documentation. This role helps ensure mechanics have the correct parts and accurate work order information needed to reduce downtime and keep heavy trucks, trailers, and construction equipment operating safely and efficiently.
Main Responsibilities
· Source, order, receive, issue, return, and track parts for heavy trucks, trailers, and fleet equipment.
· Maintain organized inventory for filters, fluids, brakes, lighting, suspension, tires, electrical components, shop supplies, and common repair items.
· Track parts usage by unit number, work order, vendor, repair type, and job priority.
· Open, update, and close work orders using fleet maintenance, work order, parts software.
· Enter parts, labour notes, meter readings, repair details, purchase orders, vendor invoices, and completed service information accurately.
· Coordinate parts availability, outside repairs, warranties, core returns, credits, and vendor follow-up.
· Communicate with mechanics, drivers, vendors, and management to support urgent repairs and reduce equipment downtime.
· Assist with preventive maintenance tracking, safety inspection documentation, outstanding defects, and service records.
Preferred Experience & Qualifications
· Previous heavy truck, trailer, equipment, automotive parts experience.
· Working knowledge of common heavy truck and trailer parts including brakes, suspension, lighting, filters, fluids, driveline, tires, and electrical components.
· Experience with parts inventory control, purchase orders, receiving, vendor invoices, and parts room organization.
· Experience using fleet management, work order, parts, or maintenance software such as FleetSoft, Fullbay, Dossier, ManagerPlus, or similar systems.
· Strong computer skills, including Microsoft Excel, Outlook, and accurate data entry.
· Good communication skills with mechanics, drivers, vendors, and management.
· Ability to prioritize urgent shop requests and changing repair needs in a fast-paced environment.
· Knowledge of transportation, construction, aggregate, or fleet maintenance environments is considered an asset.
Pay: $18.00-$26.00 per hour
