Job Overview
The Field Administrator reports to the Field Foreman and is responsible for inputting correct and complete data on all field operations. This comprises employee and subcontractor start and end timings, equipment and resource allocation data for each project site, load counting trucks with serial numbers, and any other pertinent information. The Field Administrator liaises with supervisory staff on the Field and with the Office administration to ensure dispatch of trucks and directs and controls traffic of trucks and vehicles in the field to ensure workflows and safety. The person in this position will be required to capture daily photographs using a cell phone or other device and submit them as part of the paperwork for reporting site preparation progress and in the event of a disagreement.
Duties
- Enters data using tablet ensuring accuracy in codifying employee, subcontractor, equipment and resources, and various field operations activities and information.
- Answers phone and communicates with Field Foreman on issues and actions required.
- Prepares, ensures proper filing, organizes and distributes administration and construction documents.
- Ensures accurate documentation of site preparation by taking and uploading photos with detailed descriptions.
- Orders and receives supplies and materials required on the field or site trailer.
- · Works closely with Office Administration staff to ensure efficiencies in administration function and suggests ways of improving communication and task management, and participates in cross-training.
Provides office support as needed, and other duties as assigned
Experience
Education, training and experience
- Experience working in administration in a construction and/or related dynamic environment.
- Valid Driver’s License, class ‘G’ with a good driving record and willingness to drive personal vehicle (mileage compensated) or company vehicle as required.
Technical skills and proficiency
- Proficient with Microsoft Outlook, Word, Excel, and the ability to learn and navigate other systems tools
- Proficient with Sage 100 Contractor considered an asset
Knowledge and abilities
- Knowledge of standard construction terminology/ references
- Ability to work both independently and cooperatively as part of a team
- Effective communication abilities with the capacity to diffuse conflicts and tense situations on the job
- Excellent interpersonal skills to build positive working relationships
- Excellent organizational and time management skills
- Strong attention to detail and ensures accuracy
- Proven ability to multi-task and work productively in a high-volume and dynamic environment

Flexible and adaptable and willing to support changing operational requirements including office
Pay: $20.00-$35.00 per hour
