Position Summary
The Admissions and On-the-Job Training (OJT) Advisor is responsible for supporting prospective and current students throughout their educational journey, from initial inquiry and admissions through career planning and on-the-job training placement. The position provides career advising, admissions guidance, financial aid support, campus tours, employer engagement, and administrative coordination of OJT placements in accordance with the requirements of the Nova Scotia Private Career Colleges Act and Regulations.
Admissions & Student Services
- Respond to inquiries from prospective students by phone, email, online platforms, and in person.
- Conduct campus tours and information sessions to assist prospective students in making informed educational decisions.
- Provide accurate information regarding programs, admission requirements, tuition, funding options, schedules, policies, and student support services.
- Guide applicants through the admissions process, including application completion, document collection, and admissions requirements.
- Review and process admissions documentation to ensure completeness and compliance with institutional and regulatory requirements.
- Maintain accurate student records, admissions files, and applicant data within the student information system.
- Communicate regularly with applicants regarding application status, outstanding requirements, admissions decisions, and enrollment deadlines.
- Support student onboarding activities, including orientation preparation and transition to enrollment.
- Collaborate with academic and administrative departments to facilitate a positive admissions experience and timely processing of applications.
- Prepare admissions reports and maintain records to support enrollment planning, compliance, and institutional reporting requirements.
- Provide information and guidance regarding student financial assistance programs, funding opportunities, and payment options.
- Assist students in completing financial aid applications and supporting documentation.
On-the-Job Training (OJT) Coordination
- Coordinate and administer student OJT, practicum, internship, and work-integrated learning placements.
- Ensure OJT agreements, documentation, evaluations, and records are completed accurately and maintained in compliance with institutional and regulatory requirements.
- Monitor student progress during placements and serve as a liaison between students, employers, and faculty.
- Maintain OJT tracking systems and placement reports.
- Support continuous improvement of OJT programs through instructor, employer and student feedback.
Qualifications
Education
- Diploma or degree in Business Administration, Human Resources, Education, Career Development, Marketing, Communications, or a related field.
- Career Development Practitioner certification is considered an asset.
Experience
- Minimum 2 years of experience in admissions, student services, recruitment, career advising, employment services, or a related field.
- Experience working in a post-secondary or private career college environment is preferred.
- Experience coordinating work placements, internships, or employer partnerships is considered an asset.

- Knowledge of admissions processes and student support services.
- Knowledge of career development principles and employment preparation strategies.
- Understanding of student financial assistance programs and funding options.
- Strong interpersonal, communication, and presentation skills.
- Ability to build relationships with students, employers, community partners, and funding agencies.
- Excellent organizational and time-management skills.
- Strong attention to detail and record-keeping abilities.
- Proficiency with Microsoft Office and student information management systems.
- Ability to maintain confidentiality and handle sensitive information professionally.
Working Conditions
- Office-based environment with regular interaction with students, employers, and external stakeholders.
- Occasional evening or weekend work may be required for recruitment events, career fairs, and employer engagement activities.
