J with a K Music is an innovative traveling music school in Toronto that goes beyond the standard private lesson model. We deliver the joy of music directly to our students through in-home lessons, rock band group classes, summer camps, and custom school programs. We’re looking for an organized and enthusiastic Administrative Assistant & Events Coordinator to be the heartbeat of our daily operations and help us coordinate our growing roster of programs and special events.
Job Summary:
We are seeking an organized, tech-savvy, and creative Admin Assistant & Event Coordinator to support our daily operations and help bring our community events to life.
In this dynamic hybrid role, you will balance remote administrative management (15–20 hours per week) with hands-on event planning and execution. You will play a key role in coordinating our 4 major annual student performances, 6–8 seasonal community showcases, and internal team gatherings. Events are all in central Toronto and Administrative work is remote.

Duties (What You'll Do!):
- Scheduling Master: Manage student inquiries, trial lessons, get-to-know-you sessions, and full registrations using modern scheduling software.
- Communication & Support: Act as the primary, friendly point of contact for teachers, parents, and incoming leads via email and phone.
- Inbox & Digital Workflow: Keep our inbox organized, streamlined, and prompt.
- Content & Meetings: Create engaging monthly newsletters & birthday greetings, assist with agenda creation, set up virtual meeting tech, and keep team docs organized.
- Event Planning & Logistics: Help plan, organize, and execute our 4 core student performances and 6–8 community events (split across winter and late spring/early summer).
- On-Site Coordination: Be present at events to manage venue setup, run-of-show logistics, student check-ins, and keep things running on schedule.
- Creative Input: Bring fresh, creative ideas to event themes, decor, digital promo, and overall attendee experience.
Skills (What We’re Looking For!):
- Toronto Based: Must be living in Toronto with reliable transportation to reach event venues across the city (a driver’s license/car is a huge plus!).
- Schedule: Available 15–20 hours/week across 4 weekdays - Mondays and Tuesdays are required, with flexible scheduling available Wednesday through Friday. Must have expanded availability during active event weeks.
- Tech-Savvy & Modern Workflow: Proficient in Google Workspace, digital communication, and quick to learn specialized CRM/music scheduling software and event planning tools (e.g., Asana, Trello, EventBrite, Canva, or similar).
- Problem Solver: Calm under pressure with a proactive, self-starter attitude during live events.
- Equipment: Reliable laptop, high-speed Wi-Fi, and a comfortable remote work setup.
- Arts & Music Passion: Background or genuine interest in music, music education, or the performing arts is a major asset!
