Kinshofer NA is seeking an Order Desk Specialist who will contribute to a stimulating and competitive environment while providing ongoing support to the sales department. As a member of the Inside sales team, you will coordinate all incoming orders and ensuring customer satisfaction. The order desk coordinator process customer orders, track inventory, and communicate with other departments to ensure timely delivery. You will liaise with the sales Team, enter and process new sales orders, ensure that all orders are received on time. The order desk coordinator responsibilities include preparing quotations, order entry, finalizing shipping dates, updating deliveries, preparing contracts, and dealing with customer complaints.
To be successful as an order desk coordinator, you must verify order information for accuracy, inform salesmen or customers about shipping details. An order clerk will establish excellent rapport with the sales department, Purchasing and Production team and keep the sales department informed about the status of their orders.

Job Description
Reporting to the Office Manager, the Order desk coordinator will be responsible for the following:
- Process incoming Sales orders received from sales team via phone or email
- Review and verify all order information for accuracy and completeness
- Enter and process orders into computer system in a timely and accurate manner
- Communicate any issues or discrepancies with sales team
- Ensure that orders are fulfilled and shipped to customers on schedule
- Track order flow from Purchasing to final delivery to customer locations
- Respond to sales team or direct customer inquiries regarding order status and shipping information
- Maintain accurate and organized records of all orders and related documentation
- Assist with inventory management and tracking of stock levels to ensure availability for customer orders
- Assist the shipping department in getting freight quotes
- Assist in other related duties assigned by Management.
This role is a newly created position. It will be assessed and adapted to the Kinshofer Inside Sales department upcoming assignments.
Experience Requirements
- At least 1 year of outbound sales experience;
- Proficiency with Microsoft Office programs (including Outlook, Excel, and Word) / ERP systems;
- Business to Business phone selling experience using effective and professional phone conversation skills;
- Strong sense of teamwork and willingness to collaborate cross-functionally;
- Ability to manage multiple responsibilities;
- Comfortable with data entry and analytics.
- Strong organizational skills to manage orders and paperwork efficiently
- Excellent verbal and written communication skills to interact with customers (both internal and external) and suppliers
- Proficient in using computer software to enter and track orders accurately
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously
- Attention to detail to ensure accurate order processing and delivery
- Prior experience in a similar role is preferred - 1-2 years
- High school diploma or equivalent education is required
