EXECUTIVE ASSISTANT

Main Function
Kingdom Property Investment Ltd. is seeking an Executive Assistant. The Executive Assistant is responsible for providing administrative support to Director. The Executive Assistant provides confidential assistance while maintaining the highest standard of professionalism and tact.
Areas of Responsibility
Time and Calendar Management
- Independently manages calendars by scheduling appointments, anticipating needs, changes and rearranging meetings as appropriate.
- Coordinates and makes arrangements for on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, and travel.).
- Screens and responds to e-mail and voicemail on behalf of the Director.
- Conserves the Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications.
- Maintains an awareness of issues under discussion and uses discretion in receiving and providing information by referring matters to the attention of senior staff.
Information Management
- Maintains a follow-up system to ensure that action has been taken or replies have been initiated.
- Coordinates the smooth and effective flow of paperwork through the Executive’s office and the department.
- Conducts research and assembles and analyzes data for reports and documents as required.
- Prepares, edits and proofreads correspondence, invoices, presentations, brochures, publications, reports and related material.
- Sets up and maintain manual and computerized information filing systems.
Document/Report Preparation and Management
- Provides the Director with low, medium and high level support on the formulation of documentation including development of power point presentations and excel spreadsheets, etc.
- Formats and edits letters, memos, reports and presentations. Uses independent judgment to compose general, non-technical business documents. Is privy to, and must protect, confidential materials.
- Follows an organized filing/document management process for electronic and paper documents.
- Records and prepares minutes of meetings
- Provide accounting department with bookkeeping assistant as well as file(physical/online) management.
Qualification
Education / Technical / Experience
- A diploma, certificate or degree from a recognized post-secondary institution in a related field
- Proficient in Mandarin, English
- At least 2 years of experience in an administrative assisting senior staff
- Excellent oral and written communication skills
- Intermediate to advanced proficiency of Microsoft Office Suite including development and use of templates, styles and all advanced functions
- Excellent understanding of business principals and reporting mechanisms.
- Excellent understanding of current technology (eg: iphone; surface; meeting room equipment; AV equipment; wireless displays etc)
- Able to handle confidential information with tact and professionalism.
- Ability to work independently
- Ability to work quickly in a fast paced environment with tight timelines
- Ability to work closely with others internally and externally in a highly collaborative manner

Job Type: Full-time
Pay: $50,000.00-$60,000.00 per year
