Overview
We are a growing residential HVAC company seeking a friendly, organized, and motivated Office Administrator / Customer Service Coordinator to join our team. This position is ideal for someone who enjoys helping customers, staying organized, and working in a fast-paced office environment.
No HVAC experience is required — we are willing to train the right candidate. Previous office or customer service experience is considered an asset but is not mandatory.
As the first point of contact for our customers, you will play an important role in keeping daily operations running smoothly while providing excellent customer service.
Responsibilities
- Answer incoming phone calls and respond to customer inquiries professionally and courteously
- Schedule service calls, maintenance appointments, and installations
- Manage calendars and dispatch scheduling using CRM software such as Jobber and Housecall Pro (training provided)
- Greet customers, vendors, and visitors in a welcoming and professional manner
- Perform general administrative duties including filing, scanning, emailing, and data entry
- Maintain organized customer records and digital files
- Assist with invoicing, payments, and basic bookkeeping tasks when needed
- Support the office team with day-to-day operations and coordination
- Ensure customer information remains confidential and organized
- Help create a positive customer experience from the initial phone call to job completion
Qualifications
- Strong communication and customer service skills
- Friendly, professional, and organized personality
- Ability to multitask and work efficiently in a busy environment
- Basic computer skills and familiarity with Microsoft Office and Google Workspace
- Experience with phones, scheduling, or office administration is considered an asset
- Experience with QuickBooks, Jobber, or Housecall Pro is a plus, but not required
- Willingness to learn and grow within the company
