Position Overview
The Halifax Trojan Aquatic Club is seeking a highly organized and dependable Operations Coordinator to support the day-to-day administration and operations of our competitive swim program.
This role plays a key part in ensuring clear communication, smooth scheduling, and effective coordination across all areas of the club. The position works closely with the Head Coach and supports both staff and membership in delivering a high-quality program.
Position Details
- Hours: 25 hours per week
- Compensation: $30,000 annually (negotiable based on experience)
- Schedule: Flexible, hybrid (remote and in-person as needed)
- Start Date: August 1, 2026 (flexible)
- Benefits: Eligible for HTAC’s benefits program from the start of employment
Key Responsibilities
Club Communication
- Lead all club-wide communication, including emails, newsletters, and member updates
- Act as the primary point of contact for families, staff, and partners
- Ensure communication is clear, timely, and aligned with club policies
Event Coordination
- Lead and execute club events (meets, fundraisers, team functions)
- Plan logistics, timelines, and coordinate volunteers to ensure successful delivery
Registration & Membership
- Serve as the club registrar, managing all swimmer and coach registrations
- Liaise with Swim Nova Scotia and Swimming Canada
- Submit meet entries through the Swimming Canada entry system
- Maintain accurate and up-to-date membership and compliance records
Scheduling & Operations
- Manage and maintain the club’s training calendar, including problem-solving and adjusting schedules as needed
- Coordinate with facilities to manage bookings, changes, and alternative solutions
Staff Scheduling
- Manage staff scheduling, including tracking availability and coordinating coverage
- Work closely with the Head Coach to ensure appropriate staffing across all programs
Club Operations Support
- Coordinate equipment and apparel for the club
- Assist with travel planning and logistics for team events and competitions
- Maintain working knowledge of club policies and procedures
Qualifications
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to work independently across both remote and in-person settings
- Experience with administrative tools (Google Workspace, spreadsheets, email platforms)
- Experience in sport organizations or aquatics is an asset
