A successful candidate is a detail-driven, self-directed professional who takes full ownership of the MVA claims process and treats every file as if it were their own reputation on the line.
Our ideal candidate:
- Is meticulous, highly organized, and comfortable managing dozens of active files at different stages simultaneously
- Has a working understanding of Ontario's auto insurance system (SABS, HCAI, OCF forms) or learns regulatory frameworks quickly
- Communicates confidently and professionally with insurance adjusters, lawyers, and patients, translating claims jargon into plain language
- Stays calm and methodical under pressure, especially when a file is denied, disputed, or approaching a deadline
- Is tech-savvy and comfortable in Clinicmaster (or a comparable EMR) and HCAI's billing portal
- Understands the importance of strict confidentiality regarding patient information (PHIPA/PIPEDA compliance)
- Has a minimum of 2–3 years' experience in MVA/HCAI billing, ideally in a multidisciplinary clinic (strongly preferred)
Key Responsibilities:
Your role is critical to the clinic's revenue integrity and to the patient's experience navigating a stressful process.
Your duties will include:
Claims Intake & Setup: Processing new MVA referrals, setting up patient files, and collecting required OCF forms (OCF-1, OCF-2, OCF-3, OCF-18, OCF-23).
Billing & Reconciliation: Submitting HCAI billing (OCF-21/OCF-6) accurately and on time, tracking approvals and payments, and reconciling MVA billing against Clinicmaster reports to flag discrepancies.
Treatment Plan Managemen: Monitoring plan approvals and proactively initiating re-applications before a plan expires, so patient care is never interrupted.
Communication & Coordination: Serving as the clinic's primary point of contact for adjusters, lawyers, and case managers, and coordinating with practitioners on documentation for OCF-18/OCF-23 submissions.
Patient Support: Keeping patients informed on claim status and coverage in clear, reassuring language throughout their treatment journey.
Compliance & Reporting: Maintaining up-to-date knowledge of FSCO/HCAI regulations and SABS timelines, ensuring files meet audit standards, and providing regular status reports on aging claims and revenue at risk.
