Job Summary
We are seeking an Entry-Level Office Administrative Coordinator & Data Entry Specialist to join our team in a dynamic and supportive environment. This full-time or part-time role is ideal for individuals interested in developing their administrative and customer support skills within a professional office setting. The position involves managing data entry, client support, and various clerical tasks to ensure smooth office operations. Candidates should possess strong organizational skills, attention to detail, and proficiency with office software.
Duties
- Perform accurate data entry using Microsoft Office, Google Workspace, and QuickBooks
- Manage front desk responsibilities including greeting visitors and handling multi-line phone systems
- Provide exceptional customer service and support to clients via phone, email, and in person
- Maintain organized filing systems, both physical and digital
- Assist with appointment scheduling, confirmations, and client follow-up
- Support bookkeeping tasks such as invoicing and record keeping using QuickBooks
- Proofread documents for accuracy and professionalism
- Handle administrative tasks such as photocopying, scanning, and document management
- Support team members with general clerical duties including typing, filing, and data management
- Ensure office supplies are stocked and maintained
Experience
- Previous office experience or clerical experience is preferred but not required; training will be provided
- Familiarity with Microsoft Office (Word, Excel, Outlook) and Google Workspace is highly desirable
- Experience with QuickBooks or bookkeeping is a plus
- Strong computer skills including data entry, typing, proofreading, and document management
- Excellent organizational skills with the ability to multitask efficiently
- Customer service experience or front desk support background is advantageous
- Knowledge of medical or dental office procedures (such as dental receptionist or medical office experience) is a plus but not mandatory
- Demonstrated phone etiquette and ability to handle multi-line phone systems effectively
