Key Responsibilities
- · Implement efficient file management systems, including conflict searches, file openings, and database maintenance
- · Manage case files and provide administrative support to multiple lawyers
- · Prepare and proofread correspondence, wills, powers of attorney, personal directives, estate administration documents, and related materials
- · Assist lawyers with estate planning and applications for Grants from initial intake through to completion
- · Manage client communication in a professional and compassionate manner
- · Coordinate with clients, financial institutions, land titles, and other third parties regarding documentation and filings
- · Track deadlines and maintain organized files for active estate matters
- · Always maintain strict client confidentiality
- · Collaborate closely with administrative and support staff
- · Follow firm policies and procedures
- · Demonstrate strong communication, problem-solving, and a proactive approach to daily work
Qualifications
- Legal Assistant or Paralegal diploma/certification
- Minimum 2 years of experience supporting wills & estates
- Experience with estate planning and/or estate administration required
- Exposure to expropriation, patent, trademark, or intellectual property matters is not required but would be considered an asset
- Intermediate to advanced MS Office proficiency
- Strong proofreading and document accuracy skills
- Excellent time management and ability to manage multiple priorities
- Professional, client-centered communication style
- Experience with electronic filing systems and legal practice management systems (CLIO experience is an asset but not required)
- Ability to thrive in a fast-paced environment while maintaining high attention to detail
