Position Summary
The Full-Cycle Accountant will manage the Clinic's complete accounting cycle, from accurate transaction processing and reconciliations through financial statements, analysis, budgeting, cash-flow forecasting, and inventory controls. This role works closely with management and operational teams to ensure timely, reliable financial information and strong internal controls.
The successful candidate must have hands-on QuickBooks Online experience and at least two years of accounting experience in a hospital, surgical centre, medical clinic, or comparable healthcare environment.
Key Responsibilities Full-Cycle Accounting and Bookkeeping
- Maintain complete, accurate, and current accounting records in QuickBooks Online.
- Record and classify revenues, expenses, payments, deposits, accruals, and journal entries.
- Maintain the general ledger and all supporting accounting schedules.
- Perform monthly bank, credit-card, loan, and balance-sheet reconciliations.
- Coordinate month-end and year-end closing processes and promptly resolve discrepancies.
- Maintain organized source documents and a clear audit trail for every transaction.
Accounts Payable
- Review, code, obtain approval for, and process supplier invoices accurately and on time.
- Match invoices to purchase orders, receiving records, contracts, and approvals.
- Prepare payments, monitor due dates, reconcile vendor statements, and resolve discrepancies.
- Maintain vendor records and monitor recurring expenses, equipment obligations, and service contracts.
Accounts Receivable
- Prepare and issue invoices, statements, credit notes, and other billing documentation.
- Record and reconcile payments from patients, physicians, insurers, corporate clients, and other payers.
- Monitor aging, follow up on overdue accounts, and investigate credits, refunds, and unapplied receipts.
- Ensure revenue is recorded accurately, completely, and in the correct accounting period.
Financial Statements and Management Analysis
- Prepare accurate monthly, quarterly, and annual income statements, balance sheets, cash-flow reports, and supporting schedules.
- Analyze financial results, operating costs, service-line performance, and material variances.
- Provide management with clear reports, insights, and recommendations to support operational decisions.
- Prepare year-end working papers and coordinate with external accountants, auditors, and tax advisors.
Cash-Flow Management
- Monitor daily cash availability and prepare short- and long-term cash-flow forecasts.
- Track expected receipts, payroll requirements, upcoming obligations, and major expenditures.
- Identify potential cash-flow pressures early and support management with payment and working-capital planning.
Budgeting and Forecasting
- Coordinate annual operating and capital budgets with management and department leaders.
- Compare actual performance to budget, explain significant variances, and update forecasts.
- Develop financial models for new programs, equipment purchases, staffing decisions, and expansion opportunities.
Inventory Taking and Management
- Coordinate and participate in regular physical counts of medical supplies, medications, surgical products, office supplies, and other inventory.
- Reconcile physical quantities to accounting and inventory records and investigate discrepancies.
- Monitor inventory usage, valuation, expiry dates, wastage, and stock variances.
- Work with clinical and purchasing teams to strengthen inventory controls and optimize stock levels.
- Identify and report slow-moving, obsolete, expired, damaged, or missing inventory.
Compliance and Internal Controls
- Support accurate payroll records, reconciliations, and statutory remittances, as assigned.
- Maintain documentation supporting GST/HST reporting and the appropriate treatment of taxable and exempt activities.
- Support audit, tax, corporate, insurance, and regulatory reporting requirements.
- Develop, document, and maintain effective approval processes and internal financial controls.
- Safeguard confidential patient, employee, vendor, and corporate financial information.
Required Qualifications
- Diploma or bachelor's degree in accounting, finance, business administration, or a related discipline.
- At least two years of accounting experience in a hospital, surgical centre, medical clinic, or comparable healthcare setting.
- Demonstrated experience managing the complete accounting cycle.
- Strong hands-on proficiency with QuickBooks Online.
- Practical experience with accounts payable, accounts receivable, general ledger, reconciliations, financial statements, budgeting, cash-flow forecasting, and inventory accounting.
- Strong Microsoft Excel skills, including formulas, reconciliations, financial schedules, and data analysis.
- Working knowledge of Canadian accounting practices and Ontario business requirements.
- Excellent attention to detail, organization, analytical judgment, and problem-solving ability.
- Ability to manage competing deadlines and work independently in a fast-paced healthcare environment.
- High standards of integrity, professionalism, discretion, and confidentiality.
Preferred Qualifications
- CPA designation, CPA candidacy, or progress toward a recognized accounting designation.
- Experience with healthcare billing, physician payments, medical supplies, insurance payments, or multiple healthcare service lines.
- Knowledge of GST/HST considerations in a healthcare environment offering both exempt and taxable services.
- Experience supporting audits, year-end reviews, external accountants, and improvements to internal controls.
