About The Role
You’ll be the person who keeps our business running smoothly behind the scenes and makes our clients feel genuinely cared for. You’ll coordinate the day-to-day details that keep deals and listings on track, bring warmth and creativity to our client experience, and help us produce content consistently.
This is a role with real ownership. You’ll be trusted to notice what needs attention, solve problems, improve systems, and make sure important details do not get missed.
***We are not looking for a REALTOR® or an individual who wants to become a REALTOR®***
About Us
We’re a growing, referral-driven real estate team in Edmonton. Our business is built on strong relationships, clear communication, and making clients feel confident and supported throughout their move.
We’re looking for an organized, resourceful, and genuinely thoughtful person who wants to become an important part of how our team operates and grows.
What You’ll Own
- Keep every deal on track — coordinate cleans, walkthroughs, inspections, appraisals, lawyer touchpoints, paperwork, timelines, and follow-ups so nothing slips.
- Care for our clients — coordinate thoughtful closing gifts, gift baskets, pop-bys, thank-yous, and client events that make people feel remembered.
- Prepare and launch listings — book photography and video, coordinate light staging, organize listing materials, and make sure each property is launched consistently across our channels.
- Maintain our systems — keep our CRM clean and organized, monitor our automations, and catch the exceptions before something falls through.
- Shape our monthly newsletter — take the content and direction we provide, polish it in a voice that feels warm, informative, and consistent with our brand, and contribute thoughtful ideas we may not have considered.
- Keep our content moving — help develop ideas, plan and run shoots, capture well-framed footage, coordinate outsourced editors, and keep each project moving from concept to publication. You will not be expected to be the primary video editor.
- Handle local logistics — coordinate signage, MLS sheets, occasional deposit pick-up and drop-off, staging supplies, and an up-to-date list of trusted vendors.
Who You Are
- Highly organized and dependable — you notice the details, follow through consistently, and create order without needing to be chased.
- Proactive and resourceful — you solve what you can, communicate clearly, and know when something needs to be escalated.
- Genuinely thoughtful — you remember the small details that make someone feel special.
- Calm and adaptable under pressure — you can shift gears quickly when a deal or listing needs attention.
- Comfortable owning outcomes — you do not just complete tasks; you make sure the intended result is achieved.
Requirements
- Legally able to work in Canada.
- Based in Edmonton, with a valid driver’s licence and access to a reliable, insured vehicle.
- Able to work a hybrid schedule consisting of work from home, time in our office, and travel to listings and vendors.
- Available and responsive during agreed-upon business hours.
- Comfortable using everyday technology, including Google Workspace, a CRM, and Canva—or able to learn new systems quickly.
- Strong written communication skills for newsletters, client messages, and marketing materials.
- Able to handle confidential client and business information with professional discretion.
Nice To Have
- A strong eye for composition — you understand how to frame a clean shot and can capture usable photo and video content
- Experience in hospitality, events, marketing, a client-facing coordination role, or buying and selling a home.
- Confidence coordinating outsourced editors and providing clear, useful feedback.
- Comfortable helping with light staging when needed, including transporting and arranging décor and staging supplies.
What Success Looks Like
You’ll know you’re thriving in this role when:
- Nothing slips. Transactions and listing launches move forward on time, and the team always knows what is happening next.
- Clients feel cared for. Gifts arrive, communication feels personal, and thoughtful touches contribute to strong reviews and referrals.
- Listings shine. They are prepared carefully, marketed consistently, and launched on schedule.
- Our systems stay organized. The CRM is accurate, automations are monitored, and exceptions are handled before they become problems.
- Content ships consistently. Videos move from idea to shoot, editing, and publication instead of getting stuck halfway through the process.
- The team works better because of you. You bring structure to the day-to-day, anticipate what needs attention, and take ownership of key details so everyone can focus on where they add the most value.
Compensation and Hours
$22.50–$27.00 per hour, based on experience.
Approximately 25–35 hours per week, with a combination of working from home, working from our office, and travelling to listings or vendors. Most work will take place during regular business hours, with occasional flexibility required when active deals, listings, or client events need attention.
