Under new ownership, our company has experienced significant growth, expanding to a team of over 30 employees and continuing to grow.
We are looking for a highly organized, proactive, and tech-savvy Executive Assistant to become the right-hand person to the owner.
This is much more than a traditional administrative role. The successful candidate will work directly alongside the owner and leadership team, gaining exposure to nearly every aspect of running and growing a successful business. From customer service and operations to purchasing, sales support, administration, finance, and strategic projects, this position offers a unique opportunity to learn how a growing company operates from the inside.

Key Responsibilities
As the Executive Assistant, you will help keep the business running smoothly by supporting ownership, customers, and our internal team.
Responsibilities include:
- Monitoring and responding to customer inquiries through email, phone, and online channels
- Managing the company customer service inbox and ensuring timely follow-up
- Taking and directing incoming phone calls
- Assisting customers with requests, questions, order updates, and issue resolution
- Supporting key accounts, sports associations, schools, and corporate clients
- Preparing quotes, documents, reports, presentations, and business communications
- Placing purchase orders with suppliers and tracking merchandise deliveries
- Processing invoices and maintaining accurate administrative records
- Assisting with accounts receivable and customer collections
- Supporting basic bookkeeping and financial administration
- Coordinating internal meetings, schedules, and company events
- Assisting with special projects and operational initiatives
- Maintaining organized digital and physical filing systems
- Identifying opportunities to improve processes, efficiency, and customer experience
- Leveraging technology and AI tools to streamline workflows and improve productivity
- Acting as a key support resource for ownership and department leaders
What We're Looking For
The ideal candidate is:
- Highly organized and detail-oriented
- Professional, friendly, and customer-focused
- Comfortable managing multiple priorities simultaneously
- Strong communicator with excellent written and verbal skills
- Fully bilingual (English and French) with strong communication skills in both languages
- Tech-savvy and quick to learn new software platforms
- Comfortable using Microsoft Office, Google Workspace, and cloud-based business software
- Familiar with AI tools such as ChatGPT, Microsoft Copilot, or similar technologies
- Self-motivated and able to work independently
- Positive, adaptable, and solutions-oriented
- Able to maintain confidentiality and exercise sound judgment
- A team player who enjoys helping others succeed
- Interested in learning how a business operates and grows
Qualifications
- Experience in administration, office management, customer service, bookkeeping, or operations is considered an asset
- Knowledge of accounting software such as QuickBooks is an asset
- Experience working in retail, wholesale, sports, or service industries is beneficial
- Post-secondary education in business, administration, accounting, marketing, communications, or a related field is an asset
- Equivalent work experience will also be considered

Compensation: $50,000 - $55,000 annually, based on experience and qualifications. Exceptional candidates with relevant experience in executive support, bookkeeping, operations, or business administration may be considered for compensation beyond the posted range.
