Job Overview
We are seeking a highly organized and professional Receptionist/Executive Assistant to join our team. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and supporting executive functions. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This position offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential.
Duties
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendars using Microsoft Outlook Calendar and Microsoft Teams
- Perform data entry, electronic filing, and maintain organized records for easy retrieval and review
- Assist with bookkeeping tasks utilizing Jonas Premier and Office experience
- Prepare correspondence, proofread documents, and ensure accuracy in all communications
- Manage incoming and outgoing mail, including digital signatures
- Support administrative tasks such as typing reports, organizing files, and maintaining office/kitchen/lavatory supplies
- Provide excellent customer service to clients and visitors at all times
- Coordinate meetings and assist with event planning as needed
Qualifications
- Proven clerical or administrative experience in an office setting
- Strong organizational skills with the ability to manage multiple tasks efficiently
- Excellent phone etiquette and customer service skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) especially Microsoft Teams.
- Experience with Jonas Premier and basic bookkeeping is a plus
- Ability to handle data entry accurately with high attention to detail
- Familiarity with multi-line phone systems and office equipment
- Capable of proofreading documents for clarity and correctness
- Strong typing skills for efficient document preparation
- Office experience that demonstrates reliability and professionalism
- Ability to work independently while supporting team objectives
Pay: $25.00-$30.00 per hour
