Summary of Position
The Health & Safety Corporate Administrator provides administrative, coordination, and compliance support to the CCI Group of Companies Health, Safety & Environment Program. The role is responsible for maintaining health and safety documentation, supporting COR and regulatory compliance requirements, coordinating training and onboarding activities, managing safety records and reporting systems, tracking corrective actions, and assisting with continuous improvement initiatives.
Working collaboratively with operational leaders, supervisors, employees, subcontractors, and safety personnel across the organization, the Health & Safety Corporate Administrator helps ensure the effective administration of CCI's Health, Safety & Environment Management System and contributes to the organization's commitment to Goal Zero.
Accountabilities
Health & Safety Administration
- Administer and maintain health and safety records, databases, and electronic filing systems.
- Ensure HSE documentation is organized, current, and readily accessible.
- Coordinate the distribution and control of safety manuals, policies, procedures, forms, and templates.
- Maintain employee training records, certifications, and competency matrices.
- Monitor document review cycles and assist with policy and procedural updates.
- Support implementation and maintenance of the corporate HSE Management System.
Safety Training & Onboarding
- Coordinate employee safety orientations and onboarding requirements.
- Schedule internal and external HSE training programs.
- Track employee certifications and renewal requirements.
- Issue notifications regarding upcoming training expirations.
- Maintain training compliance reports for management review.
- Assist with development and administration of safety awareness initiatives.
Incident Management Support
- Receive, track, and file incident, near-miss, injury, and property damage reports.
- Monitor investigation completion and corrective action status.
- Maintain incident statistics and reporting metrics.
- Assist with regulatory reporting submissions as directed.
- Prepare monthly and quarterly safety performance summaries.
COR & Regulatory Compliance
- Support Certificate of Recognition (COR) maintenance activities and audits.
- Coordinate collection of audit documentation and supporting evidence.
- Monitor compliance with provincial, federal, and client-specific requirements.
- Assist with internal inspections, audit scheduling, and action-item tracking.
- Help maintain compliance calendars and reporting deadlines.
Data Management & Reporting
- Develop and maintain safety dashboards and key performance indicators.
- Generate regular reports regarding:
- Training compliance
- Incident statistics
- Corrective action completion
- Inspection results
- Audit performance
- Analyze trends and identify areas requiring follow-up.
- Maintain confidentiality and accuracy of all records and reports.
Operational Support
- Coordinator daily office logistics, client interactions, scheduling meetings, purchasing supplies, couriers, directing vendors.
- Coordinate safety meetings and committee activities.
- Prepare meeting agendas, minutes, and action item trackers.
- Support field and corporate teams with document requests.
- Assist with contractor prequalification and safety documentation.
- Support project mobilization and client-specific HSE requirements.
- Liaise with external training providers, auditors, and regulatory agencies as required
Qualifications
- Diploma or Certificate in Occupational Health & Safety, Business Administration, Human Resources, or a related field.
- Combination of education and relevant experience may be considered.
- 3+ years of administrative experience.
- 2+ years of experience supporting Health, Safety & Environment programs preferred.
- Experience working within COR-certified organizations is considered an asset.
- Experience supporting multiple operating divisions or locations is an asset.
- Working knowledge of Alberta Occupational Health & Safety legislation.
- Understanding of COR audit requirements and HSE management systems.
- Knowledge of incident reporting and corrective action processes.
- Familiarity with contractor management and compliance documentation.
