About Us
Infinite Path is a multidisciplinary group counselling and assessment practice in Fort Saskatchewan, Alberta. Our team of clinicians provides individual counselling, psychoeducational assessment, trauma therapy, and neurodivergent-affirming support to children, adolescents, and adults.
We are a small, close-knit team that takes our work seriously and genuinely cares about the people we serve. We are looking for someone who shares that standard and brings the same level of care to the administrative side of the practice.
The Role
We are looking for a part-time Administrative Contractor to join our team on a contract basis, approximately 15 hours per week. This is a combined front-of-house and back-end operations role covering client care, billing, insurance, and administrative oversight.
This is not a basic reception role. You will be responsible for the accuracy and completeness of our administrative systems, our insurance and billing submissions, and the day-to-day operational running of the office. You will work closely with the owners and will need to be someone who can identify what needs to be done, follow through without being reminded, and hold a high standard for their own work.
What You Will Be Doing
Client Care and Front of House
- Greeting clients warmly and managing front-of-house presence when in the office
- Answering and returning phone calls and emails in a timely and professional way
- Rebooking clients, managing cancellations and no-shows, and handling incoming inquiries
- Managing waitlists and following up with prospective clients
- Ensuring all required intake forms and consent paperwork are sent, followed up on, and on file before first appointments
Administrative Operations
- Entering data and scanning documents and reviewing for accuracy and completeness
- Ensuring client files are complete and up to date
- Keeping track of clinician liability insurance and registration renewals
- Adding clinician shifts into Jane on a consistent schedule
- Managing office supplies, mail, and general office upkeep
- Supporting bookings, emails, and phone calls as needed
Billing and Insurance
- Submitting and tracking direct billing to insurers including Sun Life, AB Blue Cross, and others through ProviderConnect and Telus eClaims
- Reconciling payments in our practice management software (Jane) against what was billed
- Following up on outstanding invoices, rejected or returned claims, and client billing questions
- Organizing and reconciling accounting data
- Monthly reconciliation tasks including follow-ups on unarrived appointments, unpaid sessions, and contractor invoices
What We Are Looking For
- Experience in a medical, dental, physiotherapy, or other allied health office is strongly preferred
- Experience with health insurance billing and direct billing to insurers is a significant asset
- Comfort with practice management software (Jane experience is an asset but not required)
- Strong attention to detail -- you catch your own errors before they become someone else's problem
- Ability to manage multiple tasks and priorities without losing track of what is outstanding
- Professional written communication -- your emails to clients reflect well on the practice
- Comfortable working independently with minimal supervision
- Familiar with or willing to learn tools including Google Workspace and Accounting Software
- Interest in creating marketing materials or learning about and assisting with psychoeducational assessments would be a bonus.

- Contract position, 3 months to start with the possibility of extension for someone who is the right fit
