THE ROLE
We are looking for a detail-obsessed Contracts and Invoicing Coordinator to own the lifecycle of our client contracts and invoices. This is not a complex accounting role, but it requires someone who is precise, organized, and genuinely good at following systems. If a number is wrong, you catch it before it leaves the building. If something in a contract doesn't make sense, you flag it. That's the standard.
You will be working directly with the founder and will have a monthly video check-in to review workflow, flag anything outstanding, and stay aligned.
WHAT YOU’LL DO
- Draft contracts by adapting previously completed contracts from past events.
- - Our reference documents are real completed contracts — not blank forms. You need to be able to look at a finished contract from a past event and independently produce an accurate draft for a new client or event. This is the core of the role.
- Populate client-specific details using a budget spreadsheet provided to you
- Reviewing each contract for accuracy before returning it for approval and sending
- Flagging anything in a contract that looks off, doesn't match the budget, or raises a question
- Sending invoices through QuickBooks Online based on the payment schedule outlined in each contract
- Monitoring outstanding invoices and following up with clients on overdue payments
- Processing one-off invoices when requested via email with specific amounts and details provided
- Maintaining a clean record of what has been sent, what is outstanding, and what has been paid
- Track tasks in Asana, keeping statuses current so nothing falls through the cracks
WHAT WE'RE LOOKING FOR
- Strong attention to detail. Typos and number errors are not acceptable in this role
- Experience with QuickBooks Online. You need to know this system, not learn it on the job
- Comfort supporting the creation of systems and working from templates
- Clear, professional written communication for any client-facing follow-up
- Reliable and self-directed. You manage your own deadlines without being chased
- Ability to flag concerns clearly and concisely without over-explaining
- Comfortable working in Asana for task tracking — or quick to get up to speed on it
THE SETUP
- Freelance contractor, remote
- Work volume varies by season, heavier in spring and summer
- Monthly video check-in with the founder
- Trial period to start, with strong potential for ongoing work
- Performance bonuses available for exceptional work and reliability during high-volume periods
