We are seeking a detail-oriented and organized Accounts Payable & Administrator to join our team. This dual-focused role is perfect for someone who thrives on variety—blending core financial tasks with vital field and fleet administration. You will be responsible for managing the company's accounts payable processes in QuickBooks, while simultaneously supporting our field crews and fleet operations. This includes creating operational forms, managing truck-related administration, and ensuring our crews have the administrative tools they need to succeed.
DutiesAccounts Payable & Finance
- Process, verify, and code high-volume invoices using QuickBooks accounting software.
- Perform account reconciliation to ensure accuracy of payments, vendor statements, and outstanding balances.
- Manage the accounts payable ledger, ensuring all transactions are recorded accurately and on time.
- Collaborate with the accounting team to resolve invoice discrepancies, purchase order mismatches, or payment issues.
- Assist in month-end closing activities and maintain organized records for audit purposes.
Construction & Fleet Administration
- Crew Support: Design, implement, and manage digital or physical forms and applications for field crews to streamline daily reporting, safety logs, and timesheets.
- Fleet & Truck Admin: Oversee administrative tasks related to company trucks and equipment (e.g., tracking maintenance schedules, coordinating registration/licensing, or managing fuel receipts).
- Vendor & Subcontractor Relations: Maintain strong relationships with material suppliers, equipment rental companies, and subcontractors, ensuring compliance with billing policies.
- Support data entry tasks related to both financial transactions and field operations.
Experience & Qualifications
- Proven experience with QuickBooks (experience with Ceridian or other payroll/HRIS systems is a major plus).
- Strong background in bookkeeping, data entry, and accounts payable reconciliation processes.
- Prior experience in the construction, trades, or fleet/logistics industry is highly preferred.
- Demonstrated ability to create user-friendly forms, templates, or applications for field staff.
- Excellent organizational skills with the ability to pivot between desk-based accounting and fast-paced operational admin.
- Ability to work independently as well as collaborate effectively with both office staff and field crews.
