WHAT YOU’LL DO…
We are seeking a highly organized and detail-oriented Office Administrator to be the first point of contact at our Kelowna Head Office. This role has a strong customer service focus, and the ideal candidate will be proactive and detail-oriented with excellent communication and organizational skills.
RESPONSIBILITIES:
- Greet and assist clients, visitors, and staff in a professional and welcoming manner both in-person and over the phone
- Manage incoming calls, emails, and correspondence
- Manage administrative tasks such as filing, data entry, bank reconciliation, and meeting minutes
- Conduct building safety tours, coordinate building and yard maintenance when needed along with managing the relationship with suppliers and vendors
- Maintain and organize front office operations along with the common areas in our building, ensuring a clean and efficient workspaces
- Prepare, format, and manage documents and presentations using Microsoft Word, Excel, Publisher and PowerPoint
- Manage calendars, schedule meetings, and internal communications via Microsoft Outlook
- Coordinate and plan corporate events
- Coordinate mail, courier deliveries, and office supplies
- Provide administrative support to various departments as needed
QUALIFICATIONS:
- Minimum 2 years of administrative or office experience an asset
- High school diploma or equivalent required; post-secondary education in administration an asset
- Valid driver’s license and access to a reliable vehicle are required
- Proficiency in Microsoft Excel, Word, and Outlook and keep up to date on new technologies
- Demonstrated willingness to take initiative and proactively contribute to team goals, projects, and problem-solving efforts
- Excellent communication and interpersonal skills
- Professional demeanor with strong customer service skills
- Strong attention to detail with excellent organization and multitasking skills
OTHER INFORMATION:
- This is an onsite position located in Kelowna, BC. (805 Crowley Ave, Kelowna, BC V1Y 7G6)
- This position works Monday to Friday, 8-hour days
