Role Summary
The Procurement Coordinator is the driving force behind material arrival tracking and vendor accountability. Rather than waiting for delays to happen, this individual proactively tracks active purchase orders from issuance until they are ready for transport. This role functions as the operational partner to our Logistics Coordinator; this role focuses on vendor production timelines and cross-border paperwork readiness, they seamlessly hand off completed shipments to the Logistics Coordinator for asset routing, freight booking, and final site delivery.
Purchase Order Tracking & Supplier Expediting
- Monitor active purchase orders daily to confirm supplier receipt, production progress, and material readiness dates.
- Identify lead-time risks early and take immediate action to accelerate delayed vendor orders.
- Conduct regular check-ins with steel fabricators, hardware vendors, and raw material suppliers.
- Update production schedules dynamically to give the plant management team real-time ETAs.
- Negotiate faster lead times or partial shipments with vendors when project schedules shift unexpectedly.
- Responsible for sourcing, negotiating, and managing the procurement of non-production goods and services (e.g., office supplies)
Logistics Coordinator Partnership & Customs Support
- Execute seamless hand-offs by alerting the Logistics Coordinator the moment orders are ready for pickup at supplier facilities.
- Pre-empt customs delays by securing completed commercial invoices, NAFTA/CUSMA certificates, and HS codes from suppliers before transit.
- Deliver clean border documentation directly to the Logistics Coordinator and customs brokers to ensure immediate clearance.
- Collaborate daily with the Logistics Coordinator to realign transport plans if a vendor's production schedule slips.
- Verify vendor shipping documents against active purchase orders to catch quantity or item discrepancies prior to carrier pickup.
Internal Stakeholder Coordination
- Bridge the communication gap between Engineering, Project Management, and Plant Operations regarding material readiness.
- Flag component delays immediately to Engineering to explore alternative material options if a vendor slips.
- Support the Supply Chain Manager by identifying underperforming suppliers based on delivery metrics.
Skills and Qualifications
- Experience: Minimum 2–3 years of expediting or procurement experience in manufacturing, steel fabrication, or industrial construction.
- Persistence & Drive: Exceptional assertiveness and follow-through skills to hold vendors accountable.
- Team Alignment: Proven ability to work in tandem with a logistics counterpart to achieve common supply chain goals.
- Technical Skills: Proficient with ERP systems (Microsoft Dynamics 365 preferred) and highly skilled in Excel.
- Trade Literacy: Basic familiarity with North American freight movements, customs processes, and material test reports (MTRs).
- Communication: Highly collaborative, professional, and clear communicator under high-pressure project deadlines.

Pay: $55,000.00-$68,000.00 per year
