Dispatch, Fleet & Inventory Coordinator

We are looking for a Dispatch, Fleet & Inventory Coordinator to help manage technician scheduling, maintain fleet accountability, oversee inventory control, and ensure daily operations run smoothly.

What You'll Be Doing
Dispatch & Daily Operations
- Coordinate technician schedules and daily routing for efficiency and productivity
- Adjust routes and schedules based on urgency, location, and workload
- Monitor appointment progress, technician movement, and daily workflow
- Assist with customer scheduling updates, ETA communication, and appointment concerns
- Support technicians and office staff by resolving scheduling issues and changing priorities throughout the day
Fleet Management & Safety Compliance
- Conduct spot checks and verify vehicle inspection reports for accuracy
- Maintain service records, maintenance schedules, and fleet documentation
- Schedule preventative maintenance and repairs to minimize downtime
- Help ensure vehicles remain organized, safe, and properly equipped
Inventory & Warehouse Management
- Perform regular inventory counts and warehouse audits
- Monitor inventory usage, consumables, and stock levels
- Restock critical materials and ensure technicians have the parts and supplies needed daily
- Track inventory movement and identify discrepancies or unnecessary waste
Tool & Equipment Accountability
- Manage tool sign-in/sign-out procedures and equipment tracking
- Perform periodic vehicle and tool audits
- Help maintain an organized and efficient shop and warehouse environment
Process Improvement
- Identify opportunities to improve scheduling, inventory flow, fleet management, and communication processes
- Recommend systems and procedures that improve efficiency and reduce operational issues

Requirements
- Preferred 1–3 years experience in dispatch, logistics, inventory, fleet coordination, operations, or customer service
- Strong organizational and time management skills
- Strong verbal and written English communication skills
- Valid driver's license with clean abstract preferred
- Ability to lift 50+ lbs when required
- Comfortable using scheduling software, CRM systems, spreadsheets, and inventory systems
- Experience in HVAC, plumbing, electrical, home services, or trades considered an asset
Schedule
This is a full-time position with rotating shifts based on business needs:
- 7:00 AM – 3:00 PM
- 9:00 AM – 5:00 PM
- 10:00 AM – 6:00 PM
Flexibility is required to support operational coverage and business needs.
