OPERATIONS COORDINATOR
The Operations Coordinator is responsible for a broad range of administrative tasks within the operations department, including the administration of mobile equipment, trucks, fabrication equipment, driver's logs, truck inspection logs, boom inspections, and various other duties. The position requires extensive sitting, standing, walking, and periodic handling of items weighing up to 30 lbs. unassisted within the warehouse or office.
Applicants must be comfortable working in a fast-paced, time sensitive and, at times, physically demanding environment with exposure to winter and summer temperature conditions. Excellent organizational skill, communication and workplace collaboration skill, and overall working knowledge of Microsoft Office, including Excel, Word, PowerPoint and Enterprise Resource Planning (ERP) software experience is required.
KEY RESPONSIBILITIES
- Schedule repairs, preventive maintenance (PM), and inspections for mobile equipment, fleet, and fabrication equipment.
- Coordinate repairs, PM, and annual inspections for facility components, including doors, docks, fire extinguishers, emergency lights, HVAC, etc.
- File work orders for repairs, PM, service calls, and other maintenance activities as needed.
- Update the local branch truck PM board as necessary.
- Track and assist in meeting Environmental, Health, and Safety (EHS) requirements, and support the annual EHS audit.
- Conduct monthly consumable counting and shipping quality assurance for branch transfers.
- Track consumable transfers between branches.
- Handle branch-related ad-hoc purchases from suppliers like Traction, Grainger, and Global Industrial.
- Participate in workplace inspections, prepare preliminary reports for supervisors, and engage in Joint Health and Safety Committee (JHSC) meetings, including taking meeting minutes.
- Monitor and collect battery watering checklists.
- Document meeting minutes for JHSC meetings.
- Manage contractor safety documentation, including collection and verification of Certificates of Insurance (COI), WSIB, and other requirements for all new and existing vendors.
- Conduct first aid and fire extinguisher inspections for in-cab units (trucks).
- File pre-shift inspection reports for fabrication and mobile equipment.
- Schedule third-party certification training for employees.
- Monitor and update the branch training matrix; schedule renewals based on expiry dates for certifications such as Forklift, Stock Chaser, Boom, Fall Arrest, etc.
- Update the EHS board, including core element boards with updated Standard Operating Procedures (SOPs).
- Update the communication board with relevant information, such as schedule changes and COVID-19 notifications.
- Update the monthly KPI board with the latest metrics released by Corporate.
- Collect and file vendor packing slips and other necessary branch-related documentation as needed.
- Facilitate Day 1 onboarding by preparing onboarding packages and ensuring all training is completed.
- Track and update employee training records and files, including consent forms, ID cards, signed offer letters, and discipline filings.
- Maintain and update truck files, both in-cab and in the office.
- Conduct monthly physical audits of truck safety equipment and address any gaps.
- Collect service labor hours and submit to Accounts Payable and relevant agencies as required.
- Post overtime sheets and add them to the Excel tracker; post and scan to supervisors as needed, and provide the dispatcher with a copy of driver overtime availability.
QUALIFICATIONS
- University or College graduate preferably in operations or business.
- Proficiency in MS Office, with advanced knowledge of Excel is required.
- Well developed analytical skills which enable interpretation of financial data.
- Highly organized and detail oriented.
- Strong interpersonal and communication skills to effectively build key relationships.
- Ability to prioritize and handle multiple tasks, adapt to a fast-paced working environment.
