The HR Administrative Assistant supports the organizational, clerical, and administrative functions of the Human Resources department for retail store operations. Reporting to the Retail HR Manager, this role assists with recruitment coordination, scheduling support, employee documentation, onboarding preparation, and day‑to‑day HR administration to help ensure smooth retail operations and alignment with company policies, employment standards, and retail revenue goals.
Responsibilities
- Support retail staffing processes by coordinating job postings, screening applicants, scheduling interviews, and maintaining communication with candidates for Retail Sales Associate and Retail Supervisor positions.
- Assist with recruitment initiatives including posting roles on job boards, social media, internal channels, and supporting job fair preparation and logistics.
- Coordinate interviews between candidates and interviewing managers; prepare interview materials and track candidate progress.
- Prepare onboarding documentation for new hires including payroll forms, employee files, POS system setup requests, and training schedules.
- Assist with new employee orientation by organizing Health & Safety training, Product Knowledge sessions, and Customer Service training with supervisors.
- Support retail scheduling administration by updating schedules, communicating changes, and ensuring accuracy in accordance with Employment Standards Act requirements.
- Monitor and update employee records including personnel files, training records, performance documentation, and employment changes for Accounting and the Retail HR Manager.
- Respond to employee inquiries regarding HR policies, procedures, benefits, and general HR-related questions, escalating issues when necessary.
- Assist with performance review coordination by tracking review dates, preparing documentation, and supporting Retail District Managers with administrative tasks.
- Support disciplinary documentation by preparing forms, filing records, and ensuring proper documentation is maintained.
- Assist with termination administration including preparing paperwork, updating systems, and coordinating communication with Payroll.
- Maintain HR databases and spreadsheets related to staffing, scheduling, wage tracking, and employee information.
- Support Health & Safety compliance by helping revise & update manuals as needed, tracking training completion, and assisting with annual reviews.
- Prepare reports, correspondence, and meeting materials for the Retail HR Manager, Retail Sales Director, and General Manager.
- Assist with retail shift coverage coordination during peak seasons, events, promotions, and unexpected staffing changes.
- Participate in staff events, customer events, and company initiatives as required.
- Provide general administrative support including filing, data entry, document preparation, and communication with retail locations.
- Demonstrate flexibility by assisting with additional HR or administrative tasks as needed.
- Comply with all employment policies including health and safety standards and confidentiality requirements.
Pay: From $25.00 per hour

- Secondary School (preferred)
