We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. Experience with physiotherapy offices, QuickBooks, and Google Workspace is highly desirable. Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office and Google Workspace for correspondence, reports, and scheduling
- Handle customer support inquiries via phone or email, providing excellent service and support
- Assist with bookkeeping tasks using QuickBooks and other accounting software as needed
- Support physiotherapy office procedures, including appointment scheduling and patient record management
- Maintain organized files both digitally and physically to ensure quick retrieval of information
- Perform general clerical duties such as copying, scanning, and faxing documents
- Uphold phone etiquette standards when communicating with clients and staff
- Support team members with administrative tasks to enhance overall office efficiency
Qualifications
- Proven clerical or administrative experience in an office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to multitask effectively
- Strong written and verbal communication skills including phone etiquette
- Ability to proofread documents accurately and efficiently
- Previous experience in medical or dental offices is highly desirable
- Knowledge of front desk procedures and multi-line phone systems preferred
- Demonstrated customer service skills with a professional demeanor
- High school diploma or equivalent required; additional administrative training or certification is a plus
Pay: $16.46-$20.00 per hour
