As our company continues to grow, we are seeking a highly organized and detail-oriented Sales & Operations Coordinator to support our sales administration, order management, logistics, and operational coordination functions. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and excels at managing multiple priorities across cross-functional teams.
Key ResponsibilitiesOrder Management & Operational Coordination
- Monitor ongoing customer orders, production schedules, and project activities throughout the full order lifecycle
- Prepare and issue purchase orders to suppliers based on customer orders and internal approvals
- Review order quantities, item details, pricing, and customer requirements to ensure accuracy and compliance
- Coordinate communication between Sales, Design, Operations, suppliers, warehouses, and customers
- Track project timelines, production updates, sample status, and shipment schedules to support on-time execution
- Follow up on urgent issues, delays, discrepancies, or outstanding action items and escalate when appropriate
- Maintain organized order documentation, shared files, tracking systems, and operational records
Sales Administration & Data Entry
- Accurately enter and update orders, inventory data, and customer information within Inventory Management Systems (IMS)
- Maintain accurate tracking documents and reporting tools to ensure visibility across teams
- Prepare status summaries, shipment updates, and operational follow-up communications as required
- Support internal meetings by preparing follow-up lists and tracking open action items
- Assist with general administrative and operational support tasks as needed
Logistics, Inventory & EDI Coordination
- Monitor inventory levels and assist with replenishment planning and inventory status reporting
- Generate and transmit ASN’s (Advanced Shipping Notices) through EDI systems
- Prepare shipping labels, verify ETD timelines, and ensure customer routing compliance
- Coordinate shipment documentation and request Proof of Delivery (POD) from freight providers
- Assist warehouse staff with inventory discrepancy reporting within Fishbowl or related systems
- Support outgoing shipment coordination and customer delivery follow-ups
Sample & Customer Program Coordination
- Maintain sample tracking systems and communicate updates, timelines, and tracking information to customers
- Coordinate domestic and international sample shipments and prepare related documentation
- Cross-check timelines, deliverables, and dependencies for seasonal programs and customer orders
- Support procurement activities for customer-specific items including labels, stickers, packaging components, and related materials
Qualifications & Requirements
- Minimum 3–5 years of experience in sales administration, order management, operations coordination, or a related role
- Experience working with major North American retailers is preferred
- Strong proficiency in Microsoft Office Suite, particularly Excel and Outlook
- Experience with EDI systems, ASN processing, UPC/GS1 standards, and Inventory Management Systems (IMS)
- Fishbowl Inventory Management experience is considered an asset
- Excellent organizational, communication, and multitasking abilities
- Strong attention to detail with the ability to manage multiple priorities in a deadline-driven environment
- Comfortable working collaboratively across departments in a fast-paced environment
- Experience with QuickBooks or similar accounting software is considered an asset
- Mandarin language skills are considered an asset but are not required
- Comfortable working in a dog-friendly office environment
