Service & Parts Coordinator
Job Summary
Reporting to the Shop Supervisor, the Service & Parts Coordinator is responsible for coordinating service schedules, managing parts procurement and inventory, and ensuring that maintenance and repair work-orders are completed accurately, and on time. The ideal candidate is highly organized, detail-oriented, and experienced in mechanical service environments.
Key Responsibilities
- Open, track, and close work orders; ensure accurate documentation
- Open, track, and close purchase orders; ensure accurate documentation
- Order parts, supplies, and materials required for repairs and preventative maintenance
- Maintain accurate parts inventory levels; track usage and reorder as needed
- Communicate with vendors and suppliers to source parts, obtain pricing, and manage delivery timelines
- Review Min/ Max settings in MIR (shop software) on frequently used Parts
- Maintain a Parts inventory so assets are repaired with little downtime without overstocking dept.
- Verify parts accuracy (cycle counts) and resolve discrepancies, returns & cores
- Maintain maintenance records, service logs, and warranty documentation
- Assist with cost control by comparing pricing, tracking expenses, and minimizing downtime
- Support shop supervisor with reporting, scheduling, and operational coordination
- Coordinate and schedule maintenance and repair work Operations
- Follow and enforce safety policies and shop procedures
Requirements
- 3 years min experience in a Truck/ Trailer repair facility working on the floor or in the Parts dept.
- Knowledge of Microsoft Office, Outlook, and base knowledge of Excel
Required Skills
- Ability to negotiate with vendors/ suppliers
- Must be detail oriented and focused to source required Parts/ Materials in a timely cost-efficient manner
