Job Title: Accounting Clerk – Receivables

Position Summary
We are seeking a detail-oriented and organized Accounting Clerk – Receivables to join our finance team. This role is responsible for managing the full accounts receivable cycle, including invoicing, payment processing, collections, and account reconciliation. The ideal candidate will have strong analytical skills, excellent communication abilities, and a proactive approach to resolving discrepancies and improving processes.
Key Responsibilities
1. Invoicing & Billing
- Prepare, generate, and issue accurate invoices in a timely manner
- Ensure invoices align with contracts, purchase orders, and service/delivery records
- Apply correct pricing structures, taxes, and payment terms
- Maintain billing schedules and ensure deadlines are consistently met
2. Payment Processing
- Receive and process customer payments (cheques, EFTs, credit cards, etc.)
- Accurately apply payments to appropriate customer accounts and invoices
- Record all transactions in the accounting system with attention to detail
3. Account Reconciliation
- Reconcile customer accounts and investigate discrepancies
- Resolve issues such as short payments, overpayments, or unapplied cash
- Maintain accurate, current account records
4. Collections & Follow-Up
- Monitor accounts receivable aging reports and identify overdue accounts
- Communicate with customers regarding outstanding balances
- Issue statements, reminders, and collection notices
- Escalate delinquent accounts according to company procedures
5. Customer Service
- Respond promptly to customer inquiries related to billing and payments
- Resolve billing disputes in a professional and timely manner
- Build and maintain strong customer relationships
6. Reporting
- Prepare and maintain accounts receivable aging reports
- Provide regular updates on outstanding receivables and collection status
- Assist in month-end reporting and reconciliation processes
7. Record Keeping & Compliance
- Maintain organized and accurate financial records
- Ensure compliance with internal policies and accounting standards
- Support internal and external audits by providing required documentation
8. Collaboration
- Work closely with operations, dispatch, transportation, and environmental teams to verify billing details
- Coordinate with Accounts Payable and other finance team members as needed
9. Process Improvement
- Identify inefficiencies in billing and collection processes
- Recommend and implement improvements to enhance accuracy and accelerate cash flow
Additional Duties
- Provide general support to the accounting department as required
- Assist with special projects and other financial tasks as assigned
Qualifications & Skills
- Diploma or degree in Accounting, Finance, or a related field (or equivalent experience)
- 1–3 years of accounts receivable or general accounting experience preferred
- Proficiency with accounting software and Microsoft Excel
- Strong attention to detail and organizational skills
- Excellent communication and problem-solving abilities
- Ability to manage multiple priorities and meet deadlines
