Receptionist / Administrative AssistantPosition Summary
Tronnes Geomatics is seeking a professional, organized, and detail-oriented Receptionist / Administrative Assistant to support our daily office operations. This position serves as the first point of contact for clients, suppliers, and visitors while providing administrative support to the Vice President and assisting with company safety documentation and compliance tracking.
The ideal candidate will possess excellent communication skills, strong organizational abilities, and the capacity to manage multiple priorities in a fast-paced environment.
Key ResponsibilitiesReception & Customer Service
- Answer and direct incoming telephone calls in a professional and courteous manner.
- Greet visitors, clients, and suppliers and assist with inquiries.
- Receive, sort, and distribute incoming mail and deliveries.
- Maintain a professional and welcoming reception area.
Billing & Administrative Support
- Prepare and distribute billing and invoicing documents to clients.
- Assist with filing, scanning, data entry, and document management.
- Maintain organized electronic and paper filing systems.
- Support day-to-day office administration activities.
Safety Administration
- Organize and maintain company safety documentation and records.
- Track employee safety certifications, training requirements, and renewal dates.
- Assist in ensuring compliance with company and client safety requirements.
- Coordinate collection and filing of safety-related forms and documentation.
- Prepare safety documentation packages as required for projects and client submissions.
Executive Support
- Provide administrative assistance to the Vice President.
- Assist with scheduling meetings, managing calendars, and coordinating appointments.
- Prepare correspondence, reports, and other business documents as requested.
- Support special projects and administrative initiatives as assigned.
QualificationsEducation & Experience
- High school diploma required; post-secondary education in office administration or a related field is considered an asset.
- Previous experience in a receptionist, administrative assistant, or office support role preferred.
- Experience with safety administration or compliance documentation is an asset.

- Proficiency with Microsoft Office Suite (Outlook, Word, Excel).

Job Type: Full-time
Pay: $50,000.00-$60,000.00 per year
