Overview
We are seeking a friendly and organized Spa Receptionist to join our team. The ideal candidate will serve as the first point of contact for clients, providing exceptional customer service and ensuring smooth daily operations at our spa. This role requires strong administrative skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or dental office procedures, as well as familiarity with QuickBooks and Google Workspace, is a plus. The Spa Receptionist will play a vital role in creating a welcoming atmosphere and supporting the overall client experience.
It is important to us that our spa receptionist has an understanding of spa services, or is able to learn about our spa services. We also have a lounge, making it beneficial to have somebody with some bartending experience. The ideal candidate will be able to control inventory for the lounge and keep it stocked, while rebooking spa clients and learning about product to recommend to clientele.
Duties
- Greet clients warmly and professionally upon arrival and departure
- Manage multi-line phone systems, schedule appointments, and handle client inquiries
- Maintain accurate client records through data entry and filing systems
- Utilize our POS system, Mangomint, and Google Workspace for correspondence, scheduling, and documentation
- Assist with front desk administrative tasks such as checking in clients, managing appointment calendars, and organizing paperwork
- Ensure the reception area is clean, organized, and welcoming at all times
- Provide excellent customer support by addressing client questions and concerns with professionalism and courtesy
- Uphold phone etiquette standards when communicating with clients over the phone or via email
- Support other administrative functions such as proofreading documents, managing supplies, and supporting team members as needed
- Aid the team in all aspects, resetting rooms, aiding with laundry, and taking responsibility for opening and/or closing procedures in the spa.
Qualifications
- Proven experience in office administration, clerical work, or customer service roles; medical or dental office experience is preferred
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and computer skills necessary for efficient multitasking
- Experience with QuickBooks or bookkeeping software is advantageous
- Excellent phone etiquette and customer support skills; ability to handle multi-line phone systems effectively
- Ability to manage filing systems efficiently and perform basic clerical duties such as typing and document management
- Previous front desk or administrative experience in a healthcare or wellness setting is a plus
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
