Job Overview
We are seeking a professional and experienced receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. Experience in physiotherapy, chiropractic or multi disciplinary clinic is required. The Receptionist will play a vital role in maintaining smooth clinic operations and ensuring a welcoming environment for clients and staff.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Answer multi-line phone systems promptly and professionally, directing calls as needed
- Manage appointment scheduling using an EMR system.
- Process direct billing to insurance providers.
- Collect payments from clients and accurately process financial transactions.
- Perform data entry with accuracy, including updating client records and filing documents systematically
- Handle incoming and outgoing emails, packages, and correspondence
- Maintain organized files—both electronic and paper-based—ensuring easy retrieval of information
- Assist with administrative tasks such as photocopying, faxing, proofreading documents, and maintaining office supplies.
- Provide excellent customer service by addressing inquiries efficiently and courteously.
Qualifications
- Proven clerical or administrative experience, preferably in a physiotherapy clinic setting.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tasks
- Experience in phone etiquette
- Excellent organizational skills with attention to detail and accuracy in proofreading and filing
- Ability to handle multiple priorities efficiently while maintaining professionalism under pressure
- Strong customer service skills with a friendly demeanor
- Prior experience in a physiotherapy, chiropractic , multi disciplinary clinic or dental office environments is required.
- High school diploma or equivalent required; additional administrative training is advantageous
- Ability to cover morning and evening shifts, and weekend shifts if needed.

Job Type: Part-time
Pay: $19.00-$22.00 per hour
Expected hours: 35 – 40 per week
