The Investment Support Coordinator is a hybrid operations professional responsible for both executing investment processing tasks and coordinating the broader administrative systems that support Innova’s investment team. This role blends tactical precision, leadership and strategic oversight — ensuring that trade execution, document workflows, and custodial communications are handled accurately and efficiently, while also managing the people, processes, and projects that elevate our service standards.
Professionalism & Collaboration

Investment Processing
- Execute investment trades and transfers with accuracy and compliance.
- Support the investment team during peak periods or absences by handling trade execution, resolving issues, maintaining transaction records, monitoring fees, and providing advisor meeting support.
Project Coordination
- Serve as the main point of contact for administrative and investment-related initiatives.
- Create project outlines with timelines, deliverables, and assigned resources.
- Track progress, deadlines, efficiency improvements, and related project metrics.
Training & Onboarding
- Develop structured onboarding programs for new support staff and advisors.
- Train employees in compliance procedures, processing standards, and CRM use.
- Monitor and evaluate onboarding success using measurable feedback (employee reviews, error rates, task completion timelines).
- Coordinating with Human Resources to develop goal plans for new employees and obtain trainee information as needed.
Administrative Task Coordination
- Oversee cyclical administrative tasks (e.g., CAFs, debit/credit reports, LOIs, audits).
- Balance workloads and reassign tasks during peak periods, staff absences, or high-volume timelines.
- Conduct regular quality and compliance checks on administrative processes.
- Coordinate special projects assigned by management, redistributing tasks and reporting on progress.
- Track departmental processing metrics and ensure accuracy.
Resource Coordination
- Maintain firm resources, process guides, and filing systems.
- Ensure all workflow documentation is current, accurate, and accessible.
- Review resources regularly to ensure they meet staff requirements.
- Act as the final executor for high-priority or time-sensitive tasks when staff capacity is limited.
ACPI Liaison
- Serve as the primary liaison with Aligned Capital Partners Inc. (ACPI) for firm-level updates and escalations.
- Resolve processing issues in partnership with ACPI representatives.
- Participate in ACPI development groups, presentations, and feedback cycles.
- Support ACPI projects such as KYC initiatives and ensure escalations are documented and resolved efficiently.
Skills & Qualifications
- Strong understanding of investment processing and administrative operations.
- Demonstrated ability to manage multiple priorities and delegate effectively.
- Experience developing and delivering training programs.
- Excellent communication, organization, and problem-solving skills.
- Proficiency with CRM systems, compliance tools, and Microsoft Office Suite.
- Ability to lead projects and deliver measurable efficiency or service improvements.
The Canadian Securities Course (CSC), and Conduct and Practices Handbook (CPH) will become required to further the candidates career, long-term. This education pathway is fully paid by the employer, and a significant attribute for potential candidates.
