The Schulich School of Medicine & Dentistry is the largest Faculty on the Western University campus and employs over 2,000 part-time and full-time faculty.

The Department of Psychiatry is a diverse city-wide clinical academic department at the Schulich School of Medicine & Dentistry. The department encompasses the University, London Health Sciences Centre (LHSC) and St. Joseph’s Health Care, London (SJHC), in London and St. Thomas, and has faculty and residents at the Windsor Campus.

The vision for the Department of Psychiatry is to be the acknowledged Centre of Excellence for psychiatric care and discovery in Southwestern Ontario with a mission to translate clinical research into treatment and provide regional consultation within interdisciplinary models of care.

The Department of Psychiatry is comprised of 90 Full-time Clinical Academics, 5 Basic Research Scientists and 13 administrative staff.

Responsibilities

Reporting to the Education Coordinator, the Program Assistant is responsible for providing administrative support for the effective and efficient operation of the Division of Geriatric Psychiatry including Continuing Professional Development (CPD), Division events, committees, and meetings, and the coordination of the Subspecialty Residency Academic Program. The Program Assistant provides support to the Geriatric Division Chair and the Geriatric Subspecialty Residency Program Director. The Program Assistant will act as a resource for internal and external stakeholders providing guidance regarding Program, University, and external regulatory body procedures in response to inquiries, providing referrals to other individuals or resources as required. This position is located at the Finch Family Mental Health Building at Parkwood Institute with additional work done at Victoria Hospital and other off-site locations.

Qualifications

Education:

3 Year Community College Diploma in Business Management/Administration
University degree preferred

Experience:

5 years’ administrative experience in a clinical academic setting
Experience working in a Continuing Medical Education program preferred

Knowledge, Skills & Abilities:

Knowledge of medical education, curriculum, accreditation, and licensing bodies (Royal College of Physicians and Surgeons)
Working knowledge of postgraduate medical education processes, accreditation, licensing bodies, and policies
Advanced computer skills in Microsoft Office (with particular emphasis on Excel) and with databases; Familiarity with videoconferencing and online conferencing applications preferred
Strong attention to detail, editing, and proofreading abilities
Demonstrated ability to work independently and with a high degree of initiative, in strict confidentiality, often under pressure and deadlines with frequent interruptions
Demonstrated ability to research/investigate issues and resolve problems
Creative problem-solving skills and sound professional judgement with an ability to influence staff, residents, and faculty members
Demonstrated ability to build strong, collegial relationships with residents, faculty, and staff members within the Department and across the University and Hospitals (LHSC & SJHC) as well as other satellite sites (CPRI, Vanier, Windsor)
Exceptional organizational skills and demonstrated ability to manage multiple tasks and set appropriate priorities in a fast-paced environment
Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
Ability to work in a manner that is compliant with confidentiality requirements and resolve issues in a professional and timely manner
Valid driver's license with access to a vehicle to travel within the city and surrounding communities
