Position Overview
GeoFocus Group Inc. is seeking a motivated and detail-oriented Project Coordinator to support the successful execution of cast-in-place concrete construction projects within our growing multi-residential construction portfolio.
This role is ideal for a construction professional with hands-on experience in cast-in-place concrete construction who is looking to develop their career within a collaborative and fast-paced project management environment.
The successful candidate will work closely with the Senior Project Manager, Project Managers, Estimators, Assistant Project Managers and Site Supervisors throughout all phases of construction from pre-development through project close-out and turnover.
The Project Coordinator will provide critical support in project administration, scheduling, contract administration, document control, procurement, technical coordination and construction reporting while gaining exposure to all aspects of project delivery.
Key Responsibilities
Project Coordination & Administration
- Assist Project Managers in executing all aspects of project delivery.
- Support execution of construction management responsibilities under:
- CCDC 5A contracts with owners
- Assist with project close-out, commissioning and turnover procedures.
- Maintain project documentation, records, meeting minutes, drawing logs, and document control through Procore and/or Autodesk Construction Cloud.
- Coordinate communication between consultants, trade contractors, site staff and internal project teams.
- Maintain project directories, contact lists and document distribution logs.
- Assist in preparation of monthly project reports and progress updates.
Scheduling & Budget Support
- Assist in the preparation and maintenance of construction schedules using Microsoft Project.
- Support Project Managers and Estimators in preparing and maintaining project anchor budgets.
- Assist with monthly reporting, cost tracking and invoicing reviews alongside Project Managers and Site Supervisors.
- Preparation and administration of the following based on the instruction of the Project Manager:
- Site Instructions (SIs)
- Change Orders (COs)
- Change Directives (CDs)
- Contemplated Change Notices (CCNs)
- Assist in tracking procurement activities and long-lead items.
Tendering & Contract Administration
- Assist Project Managers and Estimators in preparing:
- Tender packages
- Trade scopes of work
- Bid analyses
- Trade award recommendations
- Support preparation and administration of:
- Letters of Intent (LOIs)
- CCDC-5A contracts
- Contract documentation and tracking logs
- Assist in monitoring contract compliance and project deliverables.
- Support management of trade contractor insurance, WSIB clearance certificates and contract documentation.
Technical & Site Coordination
- Assist with review, coordination and distribution of:
- Requests for Information (RFIs)
- Shop Drawings
- Submittals
- Consultant review comments
- Supplemental Instructions (SIs)
- Site Instructions and change documentation
- Assist Project Managers and Site Supervisors with constructability reviews and issue resolution.
- Coordinate drawing revisions and document distribution to project stakeholders.
- Ensure daily logs, site photos, inspection reports and project reporting are uploaded and maintained in Procore.
- Attend project sites regularly and as required to support construction operations and field coordination activities.
- Participate in progress meetings, consultant meetings and trade coordination meetings.
Quality & Safety Support
- Assist Project Managers and Site Supervisors in monitoring construction quality and compliance with project specifications and contract requirements.
- Support coordination of inspections, field reviews, testing, deficiency tracking and project close-out activities.
- Assist in maintaining project records relating to quality assurance and quality control procedures.
- Support compliance with workplace safety standards and Ontario Health and Safety requirements.
- Assist in coordinating safety documentation and maintaining project records.
Qualifications & Experience
- Minimum completion of one full-cycle cast-in-place concrete construction project considered an asset.
- Experience in cast-in-place concrete, multi-residential, high-rise or mixed-use construction projects preferred.
- Familiarity with:
- CCDC contracts
- Procore and/or Autodesk Construction Cloud
- Microsoft Project
- Microsoft Office Suite
- Strong organizational and communication skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Detail-oriented with strong document management and coordination capabilities.
- Ability to work collaboratively with project teams, consultants and trade contractors.
- Understanding of construction drawings, specifications and contract documents.
- Postsecondary education in Construction Management, Civil Engineering Technology, Architectural Technology, Engineering or a related discipline is considered an asset.
Position Details
- Office-based role with regular site visits.
Compensation & Benefits
- Competitive salary: $80,000 – $100,000 CAD (commensurate with experience)
