Under the direction of the Assistant Manager, Tenant Relations, the Property Coordinator provides a combination of both administrative office support and property operations assistance for assigned buildings. This role is responsible for maintaining efficient front desk and administrative functions while also supporting tenant inquiries and coordinating basic building operational needs. The Property Coordinator serves as a key onsite support resource, helping ensure smooth day-to-day building function, while escalating complex operational, maintenance, or tenant issues to Tenant Relations staff or management as required.
This is a full-time onsite position requiring daily presence at the assigned building; remote work is not available for this role.
KEY RESPONSIBILITIES:
Office Administration
- Manage front desk operations, including phone calls, emails, and correspondence
- Maintain office supplies and coordinate orders as needed
- Receive supplies and verify order accuracy before submitting documentation to the appropriate department
- Organize and maintain filing systems (digital and physical)
- Support scheduling, reporting, meetings, and internal communications
- Prepare reports, letters, notices and documentation
Tenant Support
- Serve as first point of contact for tenant inquiries, concerns and service requests
- Answer tenant inquiries (fob/key requests, parking/storage requests, issue parking tags, rent receipts)
- Take rental payments
- Complete regular turnover move-ins/outs
- Deliver notices to tenants
- Escalate complaints, disputes, or complex issues to Tenant Relations staff
- Coordinate events as needed
- Provide scheduled support for weekend operations as required, including move-ins/outs and urgent building matters
Property / Building Operations Support
- Complete daily building inspections, collect flyers and mail
- Complete unit inspections upon request
- Report any deficiencies/repairs
- Process amenity room rentals
- Coordinate with any maintenance/trades/vendors onsite (provide entry to contractors)
- Responsible for building curb appeal
- Sanding/shoveling (entrances only). Assist with basic seasonal maintenance such as clearing building entrances when required
- Accompany contractors for annual inspections (fire/sprinkler, dryer vent inspection)
Leasing Support
- Assist with inquiries and scheduling related to leasing activities
- Support turnover leasing activities, including responding to inquiries, scheduling showings, and assisting with application processing and lease
QUALIFICATIONS:
- College Diploma/Certificate or University Degree in related field is required; related/equivalent work experience may be considered.
- Must have a minimum of one year experience with MS Office.
- Effective communication skills with individuals at all levels of the organization.
- Able to work efficiently as a part of a team as well as independently.
- High level of critical and logical thinking, and/or reasoning to identify underlying principles, reasons, or facts.
- Able to work well under pressure, meet set deadlines, and switch from one priority to another with ease.
- Excellent organizational, time management and prioritizing skills.
- Ability to lift a minimum of 50 lbs.
