Qualifications
To be considered for this role, you will have:
- High school diploma (required).
- Post-secondary education in Business, Administration, Marketing, Healthcare, or a related field (preferred).
- Minimum 3 years of proven success in sales, customer service, or consultative selling.
- Minimum 2 years of administrative experience in a fast-paced office environment.
- Excellent verbal and written communication skills with the ability to build trust and rapport with clients.
- Strong organizational, prioritization, and time-management skills, with demonstrated experience managing complex schedules.
- Professional judgment, discretion, and the ability to remain calm and composed in a busy environment.
- A high level of emotional intelligence, empathy, and professionalism when interacting with clients, families, and colleagues.
- Self-motivated, dependable, and accountable, with the ability to work independently while contributing to a collaborative team.
- High proficiency in Microsoft Office and the ability to quickly learn new software systems.
- A valid driver's licence and a reliable vehicle.
- Willingness and ability to travel to other Hear Well Be Well clinics for training, team meetings, and occasional coverage as business needs require.
What You'll Do
As the first point of contact for our clients, you play a critical role in creating an outstanding client experience while contributing directly to the success and growth of the clinic.
Your responsibilities include:
- Create a welcoming, caring, and professional experience for every client and visitor.
- Build trust and meaningful relationships with prospective and existing clients.
- Masterfully manage provider schedules to maximize appointment utilization and clinic productivity.
- Book, confirm, reschedule, and optimize appointments while minimizing cancellations and no-shows.
- Make outbound calls to prospective clients, inactive clients, and existing clients to book appointments and support clinic growth initiatives.
- Follow up with prospective clients, answer questions, overcome objections, and confidently guide them toward scheduling hearing assessments and treatment.
- Educate clients about hearing health, products, services, promotions, and financing options.
- Identify opportunities to recommend accessories, hearing aid maintenance products, hearing protection, connectivity devices, and other solutions that improve the client experience.
- Ask satisfied clients for referrals and help grow the practice through relationship-based conversations.
- Partner closely with the Hearing Specialist to uncover client needs and deliver a seamless client journey.
- Perform hearing aid cleaning, maintenance, troubleshooting, and minor repairs.
- Manage daily clinic operations, including inventory, ordering, receiving shipments, and maintaining office supplies.
- Process payments, financing, and client transactions accurately.
- Prepare and submit documentation for government agencies, insurance providers, physicians, and other healthcare professionals.
- Maintain accurate client records while ensuring confidentiality and compliance.
- Participate in ongoing training, team meetings, and company initiatives.

Pay: $41,000.00-$51,000.00 per year
