Job Summary
The Maintenance Planner is responsible for coordinating and scheduling maintenance activities to ensure equipment reliability, minimize downtime, and support efficient plant operations. This role works closely with production departments, maintenance trades, purchasing, and external vendors to plan and execute maintenance work effectively.
Key Responsibilities
Maintenance Planning
- Plan and schedule preventive, predictive, and corrective maintenance activities.
- Develop detailed work plans, including labor requirements, estimated hours, parts, tools, permits, and procedures.
- Create weekly and daily maintenance schedules in collaboration with Operations.
- Prioritize work orders based on safety, production impact, equipment criticality, and regulatory requirements.
- Coordinate shutdowns, planned outages, and annual overhauls.
Work Order Management
- Review and validate incoming work requests.
- Ensure work orders contain complete and accurate information.
- Monitor work order backlog and recommend priorities.
- Close completed work orders with accurate labor, material, and failure information.
- Analyze recurring equipment failures and recommend improvements.
Inventory & Procurement Support
- Identify and reserve required spare parts before scheduled work.
- Coordinate with Maintenance Procurement to ensure parts availability.
- Recommend minimum and maximum inventory levels for critical spare parts.
- Identify obsolete inventory and recommend improvements.
Preventive Maintenance (PM)
- Develop and continuously improve preventive maintenance programs.
- Review PM effectiveness using equipment history and failure analysis.
- Optimize PM frequencies to reduce breakdowns while minimizing unnecessary maintenance.
- Ensure regulatory and food safety maintenance inspections are completed on schedule.
Scheduling & Coordination
- Coordinate maintenance activities with Production to minimize operational impact.
- Schedule contractors and outside service providers.
- Plan manpower requirements and optimize labor utilization.
- Prepare schedules for weekend work, shutdowns, and capital projects.
Reliability Improvement
- Track equipment downtime trends.
- Participate in Root Cause Failure Analysis (RCFA).
- Recommend equipment improvements to increase reliability.
- Assist in developing predictive maintenance strategies.
- Work with Maintenance Team on Continuous improvement projects, Production equipment
CMMS Administration
- Maintain accurate equipment records within the Computerized Maintenance Management System (CMMS).
- Update equipment hierarchies, PM tasks, bills of materials, and spare parts lists.
- Generate maintenance performance reports and KPIs.
Health, Safety & Compliance
- Ensure maintenance activities comply with company safety policies.
- Support Lockout/Tagout procedures.
- Ensure compliance with food safety standards (HACCP, SQF, BRC, GMPs, etc., as applicable).
- Participate in safety audits and continuous improvement initiatives.
Qualifications & Requirements
- Experience in maintenance planning within a manufacturing or industrial environment preferred.
- Strong organizational and scheduling skills.
- Ability to prioritize multiple tasks and manage competing deadlines.
- Excellent communication and teamwork abilities.
- Knowledge of preventive maintenance systems and maintenance management software (CMMS).
- Strong computer skills, including Microsoft Office applications.
- Mechanical and/or industrial maintenance knowledge is considered an asset.
Working Conditions
- Based in Markdale, Ontario across multiple facilities
- Industrial/plant environment with regular movement between departments and locations

Compensation
At Chapman’s, compensation is guided by a pay-for-performance philosophy that recognizes and rewards individual contributions.
Salary / Wages
$75,000 to $85,000 salary range
