THE ROLE:
The Project Coordinator provides administrative support and coordination to ensure the effective delivery of projects across the organization. Working closely with Project Managers, Project Engineers and cross-functional teams, this role is responsible for tracking activities, maintaining documentation, coordinating deliverables, and supporting client communication.
This is a project delivery support role, focused on execution, organization, and follow-through. The Project Coordinator ensures that project activities are well-coordinated, information is accurate and up to date, and stakeholders are supported with timely and reliable information.
The role also serves as a primary intake point for customer support requests and supports day-to-day operational processes including invoicing, ERP coordination, and documentation management.
COMPENSATION:
The salary range for this role is $60,000 to $70,000 per year, though actual compensation may vary based on factors such as experience and qualifications.
KEY RESPONSIBILITIES:
Project Coordination
- Coordinates day-to-day project activities in support of Project Managers.
- Tracks project schedules, milestones, and deliverables to ensure alignment with timelines.
- Maintains and updates project tracking tools, logs, and status reports.
- Follows up with internal teams to ensure completion of assigned tasks.
- Supports risk and issue tracking by identifying delays or gaps and escalating as needed.
- Coordinates, attends (as required) and documents project meetings, including drafting agendas, documenting/tracking action items and coordinating follow-up discussions.
Customer Support & Communication
- Acts as the initial point of contact for incoming customer requests and inquiries.
- Logs, tracks, and routes requests to appropriate internal teams.
- Monitors request status and ensures follow-through to resolution.
- Supports Project Managers with client communications and routine correspondence.
- Ensures professional, timely, and consistent customer experience.
Documentation & Reporting
- Prepares, formats, and maintains project documentation, including: project plans and trackers; client correspondence; reports and deliverables; change documentation
- Ensures document accuracy, completeness, and version control.
- Supports the preparation of regular project status updates and reports.
Financial & Administrative Support
- Prepares and processes project invoices in coordination with Finance and Project Managers.
- Tracks invoicing status and supports follow-up on outstanding items.
- Processes client purchase orders and maintains accurate records.
- Assists with basic project financial tracking (e.g., invoice logs, cost tracking).
- Supports monthly reporting requirements.
ERP & Delivery Coordination
- Manages order entry and updates within the MRP system to support project delivery timelines.
- Issues and maintains Internal Change Orders (ICOs).
- Coordinates scheduling and tracking of deliverables, including; products, services, training, Contract Data Requirements Lists (CDRLs)
- Ensures alignment between project documentation, procurement, and delivery timelines.
Continuous Improvement & Team Support
- Provides general coordination and administrative support to the Project Delivery team.
- Assists in maintaining organized project files and records.
- Supports consistent use of project processes, templates, and tools.
- Contributes to continuous improvement of coordination practices and workflows.
QUALIFICATIONS, SKILLS AND ABILITIES:
- Post-secondary education (Diploma or Degree) in Business, Administration, or a related field.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Minimum 3-5 years of experience in a project coordination or senior administrative support/executive assistant role.
- Experience working in a team-based, cross-functional environment.
- Experience working with ERP/MRP systems is an asset.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks and follow through on commitments.
- Strong written and verbal communication skills.
- Customer service orientation with a professional approach.
- Ability to travel domestically and internationally on occasion (<5%) primarily within Canada and the United States.
- Valid passport and authorization (visa) required to travel to customer locations.
- Security clearance may be required, depending on project assignments and client requirements.
