Key Responsibilities
- Greet clients and provide exceptional customer service
- Answer phone calls, emails, and online inquiries
- Schedule and manage appointments using clinic software
- Process payments and maintain accurate client records
- Verify and submit insurance information when required
- Coordinate practitioner schedules and treatment rooms
- Maintain a clean, organized, and welcoming reception area
- Assist with administrative tasks and daily clinic operations
- Support clinic marketing initiatives and community outreach activities
- Plan and maintain a monthly Instagram content calendar
- Coordinate and schedule Instagram posts, stories, and reels
- Collaborate with practitioners to create educational and promotional social media content
- Assist with creating simple graphics, newsletters, and marketing materials using Canva or similar platforms
- Monitor social media engagement and direct inquiries to the appropriate team members
- Help maintain a consistent and professional clinic brand across all communications
Qualifications
- Previous reception, administrative, or customer service experience preferred
- Experience in a healthcare setting is considered an asset
- Experience using JaneApp
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency with computers, email, and scheduling software
- Experience with Instagram, Facebook, Canva, or other social media platforms is considered an asset
- Strong written communication skills with attention to detail
- Ability to work independently and as part of a collaborative team
- Professional, positive, and compassionate demeanor
- Strong problem-solving skills and attention to detail
