Office Administrator (Summer Intern) – Canada China Business Council
The Canada China Business Council (CCBC) is seeking an Office Administrator to join its Corporate Head Office as a summer intern in Toronto. This position is part of CCBC’s Summer Internship Program and is funded through the Canada Summer Jobs program, an initiative of the Government of Canada.
Reporting to the Senior Director of Operations and Human Resources and working closely with CCBC staff across the organization, the Office Administrator will support the Council’s administrative operations, membership services, event coordination, and organizational activities. The successful candidate will contribute to office administration, membership support, event logistics, and operational projects while developing practical experience in business administration, project coordination, stakeholder engagement, and organizational management. This role offers valuable exposure to the day-to-day operations of a national non-profit business organization.
Key Responsibilities
Includes but not limited to:
· Provide administrative support to CCBC’s Corporate Office and regional chapters, including preparing documents, organizing files, responding to general inquiries, coordinating mailings, and supporting daily office operations
· Assist with the planning and coordination of CCBC events and meetings, including webinars, workshops, roundtables, networking events, and the Annual General Meeting
· Maintain office records, databases, and internal documents through data entry, filing, document preparation, and information tracking
· Support office operations by helping maintain office organization, updating administrative procedures, managing office supplies, and ensuring shared workspaces and files are well organized
· Assist with maintaining CCBC’s membership database, including updating member information, preparing renewal reminders, and supporting membership-related reporting
· Provide logistical and technical support for both virtual and in-person meetings and events, including preparing materials, coordinating setup, testing virtual meeting links, and assisting staff during events
· Work with the communications team to support event promotion and assist in preparing content for newsletters, announcements, and member communications
· Collaborate with staff across all CCBC chapters to support administrative coordination, membership services, event logistics, IT-related requests, and data management
· Assist in preparing internal administrative and membership reports, event summaries, and operational updates
· Conduct basic research and gather information to support event planning, presentations, internal reports, and organizational projects
· Monitor and track assigned administrative tasks and small projects, providing regular updates to supervisors
· Support document management processes, including file organization, archiving, formatting, and maintaining accurate records
· Communicate professionally with members, partners, and external stakeholders while providing timely administrative support and customer service across various communication platforms
Qualifications & Experience
· Relevant experience in office administration, event coordination, customer service, membership services, project administration, or a related field gained through academic, professional, volunteer, or project-based work
· Educational background in business administration, event management, or a related discipline
· Strong organizational, administrative, and project coordination skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment
· Excellent written, verbal, and interpersonal communication skills, with the ability to interact professionally with members, partners, and stakeholders
· Strong attention to detail, problem-solving abilities, and a commitment to accuracy, professionalism, and customer service
· Experience working with Microsoft Office applications, databases, CRM systems, or other administrative and information management tools
· Ability to work independently and collaboratively, including occasional support for events and activities outside regular business hours
Work Environment & Location
This role follows a hybrid work model. Candidates based in Toronto are preferred given the location of CCBC’s headquarters and core team activities; however, strong candidates based in Ottawa or other CCBC chapter centres in Canada (Montreal, Vancouver, Calgary, Halifax) are also encouraged to apply.
